Working Property Manager / Maintenance Superintendent

About Us
We are a growing private rental housing company with a multifamily residential portfolio of 90+ rental doors in Thunder Bay and the surrounding area. We are looking for a reliable, hands-on person to take over the day-to-day operations of our rental properties.
This is not a desk-only property management role, and it is not just a maintenance role. We are looking for someone who can communicate professionally with tenants, handle leasing, coordinate repairs, perform small maintenance jobs, and keep the properties running smoothly.
The right person will become the main point of contact for tenants and contractors and will work directly with ownership.
Position Overview
The Working Property Manager / Maintenance Superintendent will be responsible for managing the day-to-day operations of a 90+ door residential rental portfolio, including tenant communication, leasing, maintenance coordination, small repairs, property inspections, contractor management, and general building operations.
This role is best suited for someone who is practical, organized, calm under pressure, good with people, and comfortable working independently and on-site.
Responsibilities
Tenant Communication & Property Management
- Act as the main point of contact for tenants across the portfolio, supported by an AI answering/phone system that helps screen tenant calls, separate emergencies from non-emergencies, and route maintenance issues appropriately
- Respond to tenant calls, texts, and emails professionally
- Handle tenant complaints, maintenance requests, and general inquiries
- Coordinate move-ins and move-outs
- Provide tenants with proper notices when required
- Follow up on late rent and report arrears to ownership
- Keep accurate records of tenant communication and property issues
- Escalate major tenant or legal issues to ownership when needed
Leasing
- Advertise available rental units
- Take photos and videos of vacant units
- Respond to rental inquiries
- Schedule and complete showings
- Collect applications and supporting documents
- Assist with tenant screening and lease preparation
- Coordinate lease signings, move-in inspections, and key handovers
Maintenance & Repairs
- Perform small repairs and general maintenance
- Handle basic plumbing troubleshooting, toilet repairs, lock changes, minor drywall, paint touch-ups, door hardware, and other common rental property issues
- Inspect vacant units and prepare turnover lists
- Help coordinate unit turnovers
- Identify maintenance issues before they become larger problems
- Keep common areas clean, safe, and presentable
- Conduct regular property walkthroughs and report issues before they become larger problems
Contractor & Vendor Coordination
- Contact plumbers, electricians, cleaners, junk removal companies, appliance repair companies, and other contractors as needed
- Meet contractors on-site
- Get quotes when required
- Review completed work and provide photos/updates
- Track invoices and repair costs
- Use the company credit card responsibly for approved property-related expenses
- Make sure work is completed properly and efficiently
Reporting
- Provide regular updates to ownership
- Submit weekly reports covering vacancies, arrears, maintenance issues, tenant concerns, upcoming repairs, and decisions needed
- Take photos/videos of property issues and completed work
- Help improve systems, processes, and communication as the portfolio grows
Requirements
- Experience in property management, building maintenance, construction, contracting, or a related field
- Comfortable performing small repairs and maintenance tasks
- Strong communication skills
- Professional and respectful when dealing with tenants
- Organized and able to track multiple properties, tenants, and tasks at once
- Comfortable using a smartphone, text, email, photos, and basic software
- Able to work independently and solve problems
- Valid driver’s licence and reliable vehicle
- Ability to attend properties throughout Thunder Bay as needed
- Willingness to respond to urgent issues when necessary
Preferred Qualifications
- Previous experience as a superintendent, property manager, maintenance technician, contractor, handyman, or building operator
- Experience with rental properties or multifamily buildings
- Experience managing or maintaining a multi-building rental portfolio
- Basic knowledge of Ontario landlord/tenant processes
- Experience coordinating trades and contractors
- Familiarity with property management software is an asset
