Part-Time Administrative Assistant

As we continue to grow, we're looking for an organized, proactive Administrative Assistant to become an integral part of our team.
Position Overview
This is a flexible part-time position ideal for someone who enjoys keeping things organized, communicating with people, and supporting a busy construction office. You'll work closely with the owners to help manage bookkeeping, office administration, and project coordination.
Responsibilities
- Manage day-to-day office administration
- Enter bills, invoices, and expenses into QuickBooks Online
- Prepare customer invoices and track accounts receivable
- Assist with bookkeeping and account reconciliations
- Support project management using Buildertrend
- Prepare reports, spreadsheets, and project documentation using Microsoft Office
- Organize permits, contracts, purchase orders, and project files
- Communicate professionally with clients, subcontractors, suppliers, and consultants
- Coordinate schedules, meetings, and appointments
- Answer phone calls and manage incoming emails
- Maintain organized digital filing systems
- Identify opportunities to improve office processes and efficiency
QualificationsRequired
- Strong working knowledge of QuickBooks Online
- Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and Teams
- Excellent organizational and time management skills
- Strong attention to detail and accuracy
- Professional written and verbal communication skills
- Ability to work independently while managing multiple priorities
Preferred Assets
- Experience using Buildertrend
- Construction administration experience is a strong asset
- Previous bookkeeping or accounting experience
- Experience working for a general contractor, builder, or construction company
- Familiarity with SharePoint, OneDrive, or other cloud-based document management systems
