Job Summary
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for managing daily administrative operations, providing exceptional customer service, and supporting various office functions. This role requires strong computer skills, proficiency in office software, and the ability to handle multiple tasks efficiently in a fast-paced environment. Experience with medical or dental offices is a plus, but not required. The Office Administrator will play a vital role in ensuring smooth office operations and maintaining a professional front desk presence.
Duties
- Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize software such as QuickBooks, Microsoft Office, and Google Workspace to prepare reports, invoices, and correspondence
- Handle scheduling, appointment confirmations, and calendar management for staff and clients
- Provide customer support by addressing inquiries promptly and effectively
- Assist with bookkeeping tasks, including basic financial record keeping and billing processes
- Maintain organized office supplies inventory and coordinate procurement as needed
- Support administrative tasks such as mail distribution, record keeping, and document management
- Ensure the office environment remains clean, professional, and welcoming
Qualifications
- Proven experience in an administrative or clerical role; experience in medical or dental offices is advantageous
- Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
- Familiarity with QuickBooks or similar bookkeeping software is preferred
- Excellent organizational skills with the ability to prioritize tasks effectively
- Exceptional phone etiquette and customer service skills for front desk interactions
- Ability to handle multi-line phone systems efficiently and professionally
- Attention to detail for proofreading documents and managing records accurately
- Basic computer skills including typing speed and proficiency in office equipment operation
- Prior experience with filing systems, medical/dental office procedures, or administrative support is a plus
- Strong organizational skills combined with the ability to work independently and as part of a team
Pay: $17.60-$18.00 per hour
