Position: Senior Logistics Coordinator

Overview
The Senior Logistics Coordinator is at the core of our operations, serving as the backbone and heartbeat of the business. This role is responsible for managing freight from order creation to final delivery while ensuring an exceptional customer experience and maximizing profitability.
You will coordinate shipments, negotiate rates, build strong client relationships, and ensure all loads are executed efficiently and on time. Success in this role requires urgency, precision, strong communication, and a proactive, solution-oriented mindset.

Monday to Friday, 8:30 AM to 5:00 PM

Key Responsibilities
Customer Service and Account Management
- Provide an exceptional customer experience at all times
- Respond to customer inquiries within 5 to 10 minutes with either a complete answer or a realistic timeline for resolution
- Build and maintain strong client relationships through regular communication
- Act as the primary point of contact for key accounts
- Provide proactive updates on shipments, delays, or issues
- Conduct monthly client check ins to gather feedback and identify growth opportunities
- Identify and pursue new business opportunities, including quoting new lanes and increasing rates where applicable
Order Processing and Dispatch
- Create and manage orders, including pickup and delivery appointments
- Ensure all shipment details and costs are accurately entered into the system
- Dispatch and cover all loads on the same day they are received
- Track shipments from pickup to delivery, ensuring timelines are met
- Notify customers immediately of any delays or issues
- Close loads promptly upon delivery to enable timely billing
- Upload all required documentation to the system
Rate Management and Carrier Coordination
- Handle incoming rate requests from the sales team
- Provide quotes within 25 minutes, with exceptions for over dimensional or remote loads
- Negotiate competitive rates with carriers while maintaining profitability
- Source, vet, and onboard carriers that meet company standards
- Maintain accurate win and loss tracking reports for rate requests and opportunities
Profit Maximization
- Monitor margins and adjust pricing strategies as needed
- Apply and communicate accessorial charges such as wait time or after-hours service
- Collaborate with accounting on billing and collections when required
Shipment Tracking and Issue Resolution
- Manage, track, and trace time sensitive shipments
- Ensure all freight is picked up and delivered on time
- Resolve transportation issues quickly and effectively
- Process overage, shortage, and damage cases with proper documentation
- Communicate issues to customers immediately and initiate claims with carriers when necessary
Requirements
- Strong communication skills, both verbal and written. English required
- Experience in logistics is required
- Experience in a 3PL is required
- Experience handling spot quotes, including pricing, negotiating rates, and responding to time sensitive requests in a fast paced environment.
- Excellent customer service mindset with strong relationship building skills
- Ability to work in a fast paced, high pressure environment
- Strong attention to detail and organizational skills
- Ability to manage multiple shipments and priorities simultaneously
- Proficiency in Microsoft Office, especially Excel
