ABOUT THIS POSITION
Reporting to the Vice President of Planning and Development, the Residential Property Manager is accountable for the management of our portfolio of rental properties which includes oversight of building operations, leasing, and capital projects.
The Residential Property Manager provides leadership to a team of Property Administrators, and Maintenance Technicians across their portfolio. The incumbent drives the success of their assigned portfolio, ensuring standards are upheld at each property. They identify and implement strategies to manage performance by developing a thorough understanding of their team, residents, and the communities they support.
SPECIFIC RESPONSIBILITIES
Customer Service:
- Ensure that a superior level of co-operation, service and support is provided to residents and tenants.
- Ensure building standards are maintained to a high level and building staff and contractors perform their duties in a professional manner.
- Resolve resident complaints and concerns in a timely fashion to drive resident retention through a superior level of customer satisfaction.
- Ensure site-level staff receive support and training to achieve established standards.
Operations and Leasing:
- Oversee and manage assigned property management functions to improve efficiency and reduce operating costs.
- Inspect the properties on a weekly/daily basis to monitor performance & ensure properties meet established standards.
- Propose and discuss possible renovations or improvements.
- Ensure that work has been satisfactorily completed and approve invoices.
- Ensure standard processes & procedures in place to resolve issues relating to repairs and maintenance in a timely fashion.
- Coordinate after-hours emergencies as required.
- Responsible for maintaining occupancy/vacancy levels and targets.
- Maintain knowledge of market rents and ability to set asking rents accordingly.
- Maintain a working knowledge of legislation pertaining to the Rental Housing Industry, Human Rights Code and Labor Standards Act.
Leadership and Management:
- Manage a team of Property Administrators, Maintenance Technicians, and Building Superintendents.
- Responsible for planning, assigning, and directing work.
- Facilitate interdepartmental communication to ensure the timely and accurate information is shared between teams.
- Analyze and resolve operational challenges whilst providing guidance to team members as needed.
Financial:
- Accountable for delivering the financial results and Key Performance Indicators (KPIs) against targets; overall financial and administrative review of assigned properties.
- Review weekly vacancies/ availability reports; Review rents to ensure "minimum" market value.
- Oversee collection of rents and serve notices to vacate as required.
- Responsible for ensuring rent-rolls are accurate.
- Review and approve resident leases and renewal leases.
Risk Management and Strategic Planning:
- Develop and implement strategies to minimize liability and protect property assets.
- Participate in the development of long-term strategic plans for property development and management.
- Identify opportunities for property acquisition or redevelopment to enhance portfolio value.
- Implement and manage sustainability initiatives, including energy efficient practices and waste reduction programs.
Vendor Management:
- Establish and maintain relationships with vendors and service providers, negotiating contracts to ensure quality and cost-effectiveness.
- Monitor vendor performance and compliance with contractual obligations.
QUALIFICATIONS
- A minimum of 6 years of progressive experience in the property management space with at least 3 years of experience as a property manager.
- Working knowledge of Yardi system an asset.
- Strong leadership and team management skills.
- Knowledge of property laws, regulations, and landlord-tenant rights.
- Experience managing budgets, financial reports, and operational costs.
- Excellent communication and interpersonal skills.
- Ability to handle tenant relations and resolve conflicts effectively.
- Proficiency in property management software and general office tools.
- Strong organizational and time-management abilities.
- Understanding of maintenance processes and vendor coordination.
- Ability to develop and implement operational strategies to improve property performance.
