Explore Edmonton is looking for a Facilities Coordinator to join the Edmonton Convention Centre team. Reporting directly to the Director, Facilities & Engineering, this position is responsible for providing critical day-to-day support to the Facilities & Engineering team. Typical daily activities include administrative and financial processes, as well as communication within the department and across the organization to ensure work is managed in an effective and efficient manner.
What You’ll Do:

Providing information and updates to internal and external stakeholders.

Data entry and upkeep of departmental databases, ensuring a high level of accuracy.

Assisting in issuing preventative maintenance work and requesting maintenance work orders, including tracking of completion and report generation.

Supporting the completion of operational and capital budgets, forecasts, and other financial processes within the business unit.

Coordinating work schedules to mitigate potential operational conflicts.
-
Administration of the fleet vehicles program.
-
Supporting business unit leaders to complete special initiatives and projects when requested.

Managing invoices and financial processes to assist business units.
-
Coordinating resource requests for large events.
-
Assisting with payroll, scheduling and time keeping requirements.

Completing meeting minutes, agendas, and other documents in support of the business unit.

Tenant management of leased spaces.
-
Sourcing and ordering of supplies and equipment as needed.
What You Will Bring:
-
Minimum two years of experience in facilities operations, maintenance coordination, or a related environment, including exposure to building systems (HVAC, electrical, mechanical, BMS, and life safety systems), work order management, and contractor coordination.

Post-secondary education in facilities management, engineering technology, building systems, business administration, or a related field. A recognized journeyperson certificate or an equivalent combination of education and experience will also be considered.

Strong working knowledge of the MS Office Suite is essential, including Teams, SharePoint, OneDrive, and OneNote.

Ability to evaluate when decisions must be made at a higher level within the business unit.

Ability to maintain excellent relationships with all departments, outside vendors, contractors, and agencies.

Outstanding written and verbal communication skills.

Provide strong customer service skills when dealing with internal and external contacts.
