Responsibilities:
- Manage and maintain calendars for office staff, scheduling appointments and meetings
- Oversee the day-to-day operations of a medical office, ensuring smooth workflow and efficient patient care
- Organize and maintain physical and electronic files, ensuring accuracy and confidentiality
- Assist in the development and implementation of training programs for office staff
- Demonstrate excellent phone etiquette, answering calls professionally and directing them to the appropriate person or department
- Greet visitors at the front desk, providing a friendly and welcoming environment
- Manage team schedules and assignments, ensuring adequate coverage and efficient use of resources
- Familiarity with phone systems, including transferring calls, taking messages, and handling voicemail
Experience:
- Proven experience in calendar management and scheduling
- Previous experience in medical office management is highly desirable
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent attention to detail and accuracy in file management
- Knowledge of training development principles and practices is a plus
- Exceptional phone etiquette with strong communication skills
- Ability to multitask and handle multiple responsibilities simultaneously
- Experience in front desk operations is preferred
- Familiarity with phone systems and basic troubleshooting
-must be able to do direct billing on Telus Health, Blue Cross, Sunlife, Provider Connect, WSIB, and HCAI.
University or College education required with proof.
English required. Cantonese and Mandarin is an asset and preferred.
-must be able to type letter for insurers and manage product inventory.
Times required:
Thursdays and Fridays from 10am to 6pm and Saturdays 9am to 2pm for June, and July 2026. Casual work available afterwards.
