About the Role
We are looking for a Corporate Compliance Specialist to join our fully remote Canadian team. You will manage corporate registrations, ongoing entity compliance, digital filings, and related regulatory requirements for companies we support or operate. The work centres on modern online systems and digital processes. AI tools are part of the regular daily working process.
This is a mid-to-senior professional role focused on accuracy, deadlines, and reliable execution of compliance work across federal and provincial platforms.
Key Responsibilities
- Handle corporate name searches, reservations, and registrations through Ontario Business Registry, Corporations Canada, and other provincial portals
- Prepare and file sole proprietorships, partnerships, federal and provincial corporations, and related documents
- Maintain digital minute books, corporate records, and compliance calendars
- Manage CRA program accounts, annual returns, and ongoing filing obligations
- Monitor regulatory changes and update internal processes accordingly
- Use modern AI tools as a standard part of the workflow to support research, document preparation, deadline tracking, and quality checks
- Coordinate with internal teams and external service providers on entity-related matters
- Ensure all filings meet current online system requirements and statutory deadlines
Requirements
- Current and valid Dex Professional Specialist Certification (DEX-PSP) or Dex Professional Senior Specialist Certification (DEX-PSS) is mandatory. Candidates without a current qualifying Dex certification will not be considered or invited to interview.
- 3+ years of hands-on experience in corporate services, entity formation, compliance, law clerk, or paralegal work involving Canadian corporate registries
- Daily working knowledge of at least two of the following systems: Ontario Business Registry, Corporations Canada online, Dye & Durham eCore / OnCorp, ESC Registry Complete, CRA Business Registration Online, or equivalent digital platforms
- Strong attention to detail and proven ability to manage multiple entities without missed deadlines
- Comfortable using AI tools as a regular part of the work process
- Clear written and verbal communication skills
- Must be eligible to work in Canada with a valid Social Insurance Number. This role is 100% remote and open only to candidates who can work legally in Canada. No sponsorship, LMIA, or work permits will be provided.
Preferred Qualifications
- Dex Professional Specialist Certification (DEX-PSP) or Dex Professional Senior Specialist Certification (DEX-PSS) — https://www.askfordex.ca/products/dex-professional-certification
- Law Clerk diploma, Paralegal (P1) licence, or equivalent corporate-services background
- Experience with digital minute book platforms (Athennian, MinuteBox, or similar)
- Familiarity with multi-provincial and federal corporate compliance requirements
