Fuel Administrator – Own the Numbers Behind a National Fleet's Fuel Program
Every day, wholesale fuel prices shift, and someone has to catch it, calculate it, and get it right before it touches a driver's paycheck or a vendor's invoice. That someone is this role. You'll track pricing from at least five independent sources daily, calculate and upload fuel subsidies across every division, and keep a weekly invoice cycle worth close to a million dollars accurate and on time.
This isn't a background admin job. It's a financially critical seat at the table, one where your accuracy and judgment directly protect the business from costly errors and service interruptions. You'll have real interaction with vendors, real visibility into company-wide financial reporting, and a direct line to leadership across several departments.

WHY THIS OPPORTUNITY IS DIFFERENT
Most administrative roles are transactional. This one is strategic. You'll sit at the intersection of pricing data, vendor relationships, and financial reporting, with direct exposure to negotiations and cross-functional leadership rather than being buried in back-office tasks. The role has a built-in growth path into other positions within Maintenance and Procurement, so this is a launchpad, not a ceiling. You'll also have real autonomy: once trained, you're the one driving priorities day to day, with independence to investigate issues and make judgment calls.
WHAT YOU'LL BE DOING
- Track and record daily wholesale fuel prices from multiple independent sources to identify the best-priced vendors
- Calculate and upload accurate driver fuel subsidies across all divisions
- Monitor vendor invoice processing to confirm pricing accuracy and on-time payment
- Investigate transaction discrepancies and correct driver card assignment issues
- Resolve driver disputes over fuel purchases
- Represent the fuel program in vendor meetings covering service, pricing, and improvements
- Review fuel and corporate card transactions for accuracy and unauthorized activity
- Partner with Settlements, Accounts Payable, and Operations to keep data flowing on schedule
- Support training and onboarding of new team members within the fuel function
WHAT WE'RE LOOKING FOR
- Strong administrative experience in a high-volume, deadline-driven environment
- Excellent conflict resolution and negotiation skills
- Comfort managing competing priorities and staying calm under pressure
- Strong verbal and written communication, including comfort with vendor and driver-facing conversations
- Computer proficiency across Microsoft Office, especially Excel
- Familiarity with transportation industry dynamics is a plus
COMPENSATION & WORK MODEL
$21 CND Per hour.
Compensation is competitive and will be discussed during the screening process. This is an onsite, office-based position with standard business hours, with occasional extended hours during peak periods such as pay period close and invoice cycles.
