We are currently seeking an experienced Office Administrator / Bookkeeper to join our growing team. The successful candidate will be responsible for supporting the company's day-to-day accounting and administrative operations and will work closely with the Office Manager to ensure efficient office operations, accurate financial records, and timely completion of accounting and administrative tasks.
Key Responsibilities
- Use Sage 100 Contractor to maintain accurate bookkeeping and accounting records.
- Manage accounts payable, including vendor invoices, purchase orders, payments, and account reconciliation.
- Complete monthly bank and credit card reconciliations and maintain accurate financial records.
- Prepare and file government remittances, including GST, WCB, and employee source deductions.
- Assist with payroll processing and prepare ROEs, T4s, and other payroll-related documentation.
- Manage employee expense accounts, company credit cards, and supporting documentation.
- Prepare and organize month-end and year-end documentation for management and external accountants.
- Work closely with the Office Manager to support daily accounting and office operations.
- Maintain organized employee, accounting, vendor, and company records and filing systems.
- Communicate with employees, suppliers, vendors, and project teams regarding invoices, documents, and general inquiries.
- Assist with general office administration, including correspondence, data entry, document preparation, filing, and maintaining office supplies.
- Provide administrative support to management and assist with other accounting and office duties as required.
Skills and Qualifications
· College education in Accounting, Bookkeeping, Business Administration, or a related field.
· Minimum 2–3 years of accounting/bookkeeping or related experience.
· Experience with Sage 100 Contractor or Sage 300 is preferred.
· Proficiency in Microsoft Office, particularly Excel and Word.
· Good understanding of bookkeeping and general accounting principles.
· Strong organizational skills with excellent attention to detail and accuracy.
· Ability to work independently while collaborating effectively with the Office Manager and other team members.
· Strong verbal and written English communication skills.
· Construction industry experience is considered an asset.
