Position Overview
The Pembroke Business Improvement Area (PBIA) seeks an energetic, organized, and community-minded individual to join our team as an Event Planner & Downtown Promotions Coordinator. This position supports the planning, promotion, and delivery of downtown events, beautification projects, and business engagement initiatives that contribute to a vibrant and welcoming Downtown Pembroke.
The successful candidate will work closely with the Executive Director, downtown businesses, community organizations, artists, volunteers, and the public to help create memorable experiences and strengthen community pride through events and promotional activities.

Key Responsibilities
Event Planning & Coordination
- Manage event logistics, including vendor and performer communication, permit acquisition, timelines, and activity scheduling
- Execute event operations, including sourcing supplies, assisting with the physical setup and takedown of materials (tents, signage, décor), and providing crucial on-site coordination
- Attend planning meetings, contribute creative ideas, and document event outcomes through photos and reporting
Marketing & Communications
- Develop and publish engaging promotional content for social media, newsletters, posters, and advertisements
- Maintain the PBIA website and distribute promotional materials to stakeholders to promote local shopping and increase downtown foot traffic
Community & Business Engagement
- Foster positive relationships with downtown businesses, residents, artists, and community organizations to encourage participation in PBIA initiatives
Beautification & Public Space Projects
- Support downtown beautification, including the installation of seasonal décor, banners, planters, and public art
- Organize and maintain PBIA equipment and décor inventory
Administrative Support
- Maintain event planning documents, contact lists, schedules, and records
- Track receipts, expenses, inventory, and materials related to events and programming
- Assist with general office and coordination duties as required

- Creativity and enthusiasm for events, marketing, and community engagement
- Ability to work independently and collaboratively within a team environment
- Strong customer service and interpersonal skills
- Flexibility and adaptability in a fast-paced environment
- Confidence interacting with businesses, volunteers, and the public
- Basic knowledge of key social media platforms and digital marketing tools (e.g., Instagram, Facebook, Canva)
- Experience with event planning, communications, tourism, marketing, or community projects is considered an asset
Working Conditions
- Position involves both office and outdoor work, Tuesday - Saturday
- Some evening and weekend work will be required during events and special programming
- Candidate must be comfortable lifting and moving event materials and assisting with physical event setup
- Funding for this role is provided by the Canada Summer Jobs initiative; all candidates are required to satisfy the program and specific eligibility criteria for consideration.
