Job Overview
Brands For Canada is seeking a highly organized and analytical Finance Coordinator to support the financial administration, reporting, budgeting, grant development and internal controls of our organization.
Reporting to the Executive Director, the Finance Coordinator will serve as BFC's primary internal liaison with our third-party bookkeeping team and help ensure financial information is accurate, timely and useful for decision-making.
This hands-on role combines financial coordination and grant development. The Finance Coordinator will work closely with our Fundraising, Operations and Program teams to maintain strong financial processes, monitor funding and develop compelling government, foundation and corporate grant applications that advance BFC's mission.
Responsibilities
- Coordinate monthly, quarterly and annual financial reporting with BFC's third-party bookkeeping team.
- Review financial statements and prepare variance analyses, financial summaries and management reports for the Executive Director.
- Coordinate annual budgeting and forecasting and monitor organizational and program results against approved budgets.
- Monitor cash flow, reserves and financial commitments and identify potential issues.
- Coordinate accounts payable, accounts receivable, payroll, month-end documentation and reconciliation processes with the bookkeeping team.
- Review invoices, expenses and payment documentation for completeness, appropriate coding and required approvals.
- Maintain accurate financial records and support effective internal financial controls and segregation of duties.
- Coordinate financial documentation and schedules required for BFC's annual audit and regulatory reporting.
- Maintain financial records for restricted and unrestricted funding and monitor grant expenditures against approved budgets.
- Coordinate financial records for cash, foundation and in-kind donations and support BFC's charitable receipting process.
- Review Fair Market Value (FMV) documentation and coordinate exceptional valuation or receipting matters with the bookkeeping team.
- Collaborate with the Fundraising Coordinator, Executive Director and Program teams to identify and pursue government, foundation and corporate funding opportunities.
- Research funding opportunities and draft compelling grant applications for program-specific and general operating funding.
- Develop grant budgets, financial projections and supporting financial narratives.
- Attend funder briefings, information sessions and pre-application meetings, as appropriate.
- Track grant applications, deadlines, funding decisions, agreements, deliverables and reporting requirements.
- Collaborate with Fundraising and Program teams to prepare grant, funder and impact reports for approved funding.
- Identify opportunities to improve financial systems, grant-management processes, workflows and internal controls.
Requirements
- Three or more years of experience in accounting, financial administration, nonprofit finance or a comparable finance coordination role.
- Post-secondary education in accounting, finance, business administration or a related field is preferred; equivalent relevant experience will also be considered.
- Demonstrated experience researching, developing and writing government, foundation or corporate grant applications.
- Experience developing grant budgets, financial narratives, funding proposals and funder reports.
- Strong knowledge of budgeting, financial reporting, variance analysis and financial controls.
- Familiarity with accounts payable, accounts receivable, payroll, reconciliations and month-end financial processes.
- Experience tracking grants, restricted funding, deliverables and reporting requirements.
- Experience working with external bookkeepers, accountants or auditors is an asset.
- Experience with nonprofit or charitable accounting and fund accounting is strongly preferred.
- Familiarity with charitable donations and tax receipting is an asset.
- Strong proficiency with Microsoft Excel and experience with accounting or financial-management software.
- Excellent analytical, organizational and problem-solving skills with strong attention to detail.
- Strong written and verbal communication skills, including the ability to prepare clear and persuasive funding proposals.
- Sound judgment and discretion when handling confidential financial, donor and organizational information.
- Ability to work independently in a virtual environment while collaborating effectively across a small, mission-driven team.
