We have a brand-new opportunity for an Assistant Project Manager in our Edmonton office! We are seeking a candidate who is skilled, knowledgeable, experienced and driven to succeed in our business. The Assistant Project Manager is an advanced project leadership role intended for experienced construction professionals who have demonstrated the ability to independently manage projects or major project scopes and are preparing to assume full Project Manager responsibilities.
The Assistant Project Manager acts as a key liaison between clients, consultants, subcontractors, suppliers, and field personnel while developing expertise in project financial management, contract administration, procurement, scheduling, stakeholder management, and project leadership. The Assistant Project Manager is expected to contribute to project success while preparing to independently manage future projects and client relationships.
Responsibilities
Project Planning and Execution:
- Assist in developing, managing, and updating comprehensive project plans, including timelines, resource allocation, procurement strategies, and risk assessments.
- Independently manage assigned project scopes, project phases, or smaller projects under the guidance of the Project Manager.
- Coordinate subcontractors, suppliers, consultants, and field teams to maintain productivity, quality, and schedule compliance.
- Conduct regular site visits to monitor project progress, quality standards, and safety compliance.
- Prepare and issue project documentation, including contracts, change orders, purchase orders, tender packages, and progress reports.
Cost and Resource Management:
- Assist in creating and maintaining project budgets, tracking expenditures, commitments, forecasts, and profitability.
- Participate in monthly project review meetings and financial forecasting activities.
- Monitor project costs and identify potential cost overruns, recommending corrective actions when required.
- Assist in reviewing and approving subcontractor progress claims and supplier invoices.
- Support workforce planning and resource allocation activities.
Client Relations:
- Participate in client meetings and maintain professional client relationships.
- Act as a client contact for assigned scopes or projects.
- Assist in resolving client concerns and providing value-added solutions.
- Develop relationships that support future repeat business opportunities.
Contract Administration:
- Assist in reviewing, negotiating, and administering contracts with clients, subcontractors, and suppliers.
- Prepare and negotiate change orders and scope revisions.
- Participate in procurement activities, including bid solicitation, bid leveling, and subcontractor selection.
- Identify contract risks and recommend mitigation strategies.
Stakeholder Communication:
- Maintain open and effective communication with clients, consultants, subcontractors, suppliers, and internal teams.
- Participate in project meetings and ensure action items are documented and completed.
- Coordinate communication between field and office teams.
Schedule Management:
- Assist in developing, maintaining, and reviewing project schedules.
- Monitor critical path activities and identify schedule risks.
- Work closely with Superintendents to ensure field operations align with project schedules.
- Participate in recovery planning when delays occur.
Team Leadership and Development:
- Demonstrate leadership, professionalism, accountability, and ownership of assigned responsibilities.
- Provide mentorship and support to Project Coordinators and junior staff.
- Participate in leadership development activities and prepare for future Project Manager responsibilities.
Quality Assurance:
- Support Carlson Construction's quality control programs and standards.
- Conduct site inspections and verify compliance with contract documents and specifications.
- Coordinate deficiency management and project closeout activities.
- Assist in preparing turnover documentation, as-built drawings, and operation manuals.
Technology Integration:
- Utilize Vista ERP, ProjectSight, Microsoft Project, Bluebeam, Microsoft 365, and other project management tools.
- Promote consistent project documentation and reporting practices.
- Identify opportunities to improve efficiency through technology and process improvements.
Continuous Improvement:
- Identify and implement process improvements that enhance project delivery and client satisfaction.
- Contribute to the development of company standards, best practices, and operational efficiencies.
· Post-Construction Activities:
- Assist in project turnover, warranty administration, deficiency management, and project closeout.
- Participate in lessons learned reviews and continuous improvement initiatives.
Requirements:
- Education: Construction Engineering Technology Diploma, or a related field. Equivalent combinations of education and experience will be considered.
- Experience: Minimum of 5-8 years of progressive experience in project coordinator or project management within the construction industry. Previous experience as a Senior Project Coordinator, Assistant Project Manager, or equivalent role preferred.
Certifications:
- CET (Certified Engineering Technologist) or similar designation preferred.
- Project Management Professional (PMP) designation is an asset.
- Red Seal in Carpentry or at least some field experience is an asset.
- Gold Seal from the Canadian Construction Association (CCA) is an asset.
- National Construction Safety Officer (NCSO) certification or some relevant courses in safety leadership and injury prevention would be an asset.
