Pro Bono Law Alberta is a nonprofit organization committed to promoting access to justice by creating opportunities for the legal community to provide free legal services to Albertans in need. We work collaboratively with legal professionals, community organizations, and stakeholders to develop and support pro bono programs across the province.
Role Overview
Pro Bono Law Alberta is seeking a highly organized, proactive, and results-oriented Programs Operations Assistant to support the ongoing development and improvement of our programs. Working closely with program staff, the successful candidate will document workflows and procedures, develop programs manuals and operational resources, and identify opportunities to improve processes and systems.
The ideal candidate is an effective communicator who enjoys working with people, gathering information, solving problems, and turning complex problems into clear and practical resources. They take initiative and have a demonstrated ability to move projects forward while collaborating effectively with staff across the organization.
This role will help ensure program knowledge is captured, processes are documented and consistent, and operational resources effectively support staff and volunteers. The successful candidate will play a key role in strengthening organizational efficiency, knowledge sharing and continuous improvement across PBLA’s programs.
Key Responsibilities
· Meet with program staff to understand, document, and analyze existing workflows, procedures, and operational processes.
· Develop and maintain process maps, standard operating procedures, program manuals and other operational documentation.
· Review and enhance tracking tools, spreadsheets, and operational resources to support efficient and consistent program delivery.
· Program knowledge sharing, standardization, and continuous improvement across programs.
Qualifications and Skills
· Post-secondary education in business administration, nonprofit management, communications, project management, or a related field, or an equivalent combination of education and experience.
· Experience documenting workflows, procedures, and operational processes, including the development of manuals, guides or SOPs.
· Strong analytical and organizational skills, with the ability to identify process improvements and translate complex information into clear documentation.
· Intermediate Microsoft Excel skills and experience working with tracking, reporting, or data management tools.
· Excellent communication and relationship building skills, with the ability to collaborate effectively with staff.
· Experience with CRM, volunteer management, or case management software is an asset.
