Executive Assistant to the Superintendent of Business

The Near North District School Board is seeking a highly organized, collaborative, and service-oriented professional to serve as Executive Assistant to the Superintendent of Business. This position provides support to the areas within the Superintendent’s portfolio, including but not limited to legal agreements and contracts, insurance and risk management, international students, Reciprocal Education Agreements, transportation, and committees. The Executive Assistant organizes and administers a broad range of administrative activities to ensure effective day-to-day operation.
Location: North Bay Head Office (in-person)
Duties and Responsibilities:

Provide full confidential administrative and executive assistance to the Superintendent of Business

Establish and maintain electronic and hard copy filing systems

Coordinate and attend meetings as required and be responsible for preparation and follow-up of agendas, minutes and correspondence

Proofread documents for accuracy, grammar and formatting

Research, anticipate and organize relevant data as needed

Responsible for budget tracking and transfers as assigned by the Superintendent of Business

Perform required research and report compilation including updating of Board Administrative Guidelines & Operating Procedures

Undertake special projects and assignments at the direction of the Superintendent of Business

Clerical/administrative duties such as data entry, scheduling, answering phones, mail distribution, processing invoices, responding to routine inquiries and providing resolution to general inquiries and concerns

Communicate with a variety of contacts both internal and external daily
- Other duties as assigned
Qualifications:
- College Diploma in Office/Executive/Business Administration or equivalent combination of education and relevant experience

Up to 5 years of related work experience in a senior clerical or executive assistant position, including at least 3 years of progressive experience meeting challenges and seeking resolutions, preferably in a school board environment

Demonstrated experience working with confidential information

Well-developed planning, organizational and time management skills including the ability to prioritize multiple projects and work independently with a high level of attention to detail and accuracy

Demonstrated ability to interact effectively with a wide variety of people at all levels within the organization, external agencies, community partners and the general public

Ability to gather information, analyze, evaluate, formulate and recommend an appropriate course of action as well as identify areas for improvement in efficiency of operations

Excellent verbal and written and communication skills

Able to demonstrate empathy, judgment, initiative, responsibility and common sense
- Exceptional ability to discern and resolve issues presented with a high level of urgency

Strong computer skills in word processing, spreadsheets, presentation software and databases

Knowledge and comprehension of School Board operations, policies, procedures, operating guidelines and organizational structure is an asset

Ability to travel within the district, as required
Salary: $74,127.00 annually
