Job Summary
We are seeking a highly organized and detail-oriented Entry-Level Executive Assistant & Program Assistant & Data Entry and Client Support to join our team in a dynamic, fast-paced environment. This full-time or part-time role offers an excellent opportunity for individuals interested in administrative support, client relations, and data management. The ideal candidate will possess strong clerical skills, proficiency with office software, and excellent communication abilities to effectively support our programs and clients.
Duties
- Manage scheduling and calendar coordination using Microsoft Outlook Calendar and Google Workspace
- Handle data entry tasks accurately using Microsoft Office, Google Workspace, and DocuSign
- Provide front desk support, including greeting visitors and managing multi-line phone systems with professional phone etiquette
- Assist with bookkeeping and basic QuickBooks entries to maintain financial records
- Prepare, proofread, and file documents to ensure accuracy and organization
- Support client communication through email correspondence and follow-up
- Maintain organized filing systems both digitally and physically
- Assist with program coordination, including scheduling meetings and preparing materials
- Provide exceptional customer service to clients and internal teams
- Perform general administrative duties such as photocopying, scanning, and organizing files
Requirements
- Proven clerical or administrative experience; office experience preferred
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Experience with QuickBooks and basic bookkeeping is a plus
- Strong organizational skills with the ability to multitask efficiently
- Excellent typing speed and data entry accuracy
- Demonstrated phone etiquette and customer service skills
- Ability to proofread documents carefully for errors
- Familiarity with multi-line phone systems and front desk procedures
- Ability to work independently with minimal supervision while maintaining attention to detail
- High school diploma or equivalent required; additional administrative training is a plus

Pay: $40,000.00-$56,000.00 per year
