We’re growing, and we’re looking for a Practice Administrator who brings warmth, precision, and energy to everything they do. The Role
As our Practice Administrator, you are the primary owner of front-desk flow. You’re the first face patients see, the voice they hear on the phone, and the person who ensures every interaction — from arrival to follow-up — feels seamless and cared for.
This is a role for someone who thrives in a fast-paced environment, can hold a lot of moving pieces without dropping any, and understands that the quality of their work directly shapes the patient experience. You’ll work closely with our Scheduling Coordinator, clinical team, and Practice Operations Leader to keep the practice running at its best.
What You’ll Do
Patient & Front-Desk Experience
- Be the warm and welcoming first point of contact for every patient and family who walks through our door
- Triage and manage all incoming phone calls, emails, and text messages in-keeping with our communication standards
- Support our post-appointment communication, ensuring patients feel supported beyond their visit
- Keep the reception area clean, tidy, and genuinely welcoming at all times
Scheduling & Administration
- Reschedule and manage patient appointments with accuracy and care
- Ensure all voicemails are responded to promptly
- Manage outgoing reports to specialists
Records & Data Management
- Triage incoming patient records and specialist reports, filing accurately in our practice management system
- Scan, upload, and organise patient documents, images, and records into our system with precision

- You handle a busy front desk calmly and with a smile — you don’t rattle under pressure
- You’re proactive and accountable: if something needs doing, you notice it and you do it
- You communicate clearly and professionally across phone, email, and in person
- Experience in a dental, medical, or orthodontic setting is a real advantage
- Familiarity with practice management software (we use Dolphin Management) is a bonus, though we’ll train the right person
