As our business continues to expand, we are looking for a detail-oriented and highly organized Bulk Fuel Administrator to join our team in Lloydminster. POSITION SUMMARY
The Bulk Fuel Administrator plays a critical role in supporting the day-to-day operations of Fuel Nexus' bulk fuel brokerage business. This position is responsible for customer invoicing, supplier invoice processing, transaction reconciliation, pricing verification, and administrative support.
Working closely with management, suppliers, customers, and carriers, you will help ensure fuel purchases, deliveries, and sales are accurately recorded, reconciled, and invoiced.
Success in this role requires strong attention to detail, excellent organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
DUTIES AND RESPONSIBILITIES, including by not limited to the following:
Fuel Transaction Management
- Process & reconcile bulk fuel purchase & sales transactions
- Verify delivery details, fuel volumes, pricing, & supporting documentation
- Maintain accurate records of contracts, deliveries & transactions
- Investigate and resolve discrepancies between supplier & customer invoices & delivery documentation
Customer Billing & Accounts Receivable
- Prepare & issue customer invoices
- Verify fuel pricing, volumes & delivery details
- Maintain accurate records of customer account records
Supplier invoicing & Accounts Payable
- Process supplier, carrier & vendor invoices
- Match invoices to deliveries & pricing agreements
- Reconcile vendor statements & Resolve invoice discrepancies
Financial Administration
- Assist with account reconciliations & reporting
- Maintain organized records for QA & QC audit & compliance purposes
- Support continuous process improvements
Office Operations Support
- Support dispatch scheduling and coordination of calendars as required
- Assist with internal compliance and operational policies and procedures
Compliance & Accountability
- Quality Assurance (QA): Follow established processes and procedures designed to prevent errors, ensure accuracy, and maintain operational efficiency. Contribute to the development and improvement of procedures as needed.
- Quality Control (QC): Review and verify completed fuel deliveries, invoices, and supporting documentation, investigating and resolving discrepancies with suppliers, transporters, and customers.
- Process Compliance: Ensure QA and QC standards are consistently applied to maintain the accuracy and integrity of financial records, customer billing, supplier payments, and operational data.
- Internal Audits & Reconciliation: Conduct monthly audits of customer and vendor accounts, including invoicing, payments, documentation, and processes, identifying opportunities for improvement and ensuring compliance with company policies.

Qualifications
- Diploma or certificate in Accounting, Office, or Business Administration preferred.
- 2+ years experience in accounts payable, accounts receivable, or bookkeeping or similar administrative role
- Experience handling high-volume transactions is preferred
- Strong proficiency with Microsoft Excel and Microsoft 365
- Excellent attention to detail and organizational skills
- Assets:
- Experience in fuel, energy, logistics, transportation, or commodities industries
- Experience with QuickBooks, Sage, Stripe or similar accounting software
- Experience managing high-volume transactional environments
- Must have:
- Strong verbal and written English communication skills
- Valid driver's license and reliable transportation
- Reside in Lloydminster or the surrounding area
Technical Skills
- Accounting software experience (QuickBooks, Sage, or similar) Proficiency in M365 (Excel & Office)
- Experience with electronic payment systems, invoicing platforms & various software
Working Conditions
- Full-time, in office position, with ability to take direction remotely, and work collaboratively
- Standard business hours with occasional flexibility required to support operational needs
- Fast-paced environment requiring effective prioritization and time management
Physical demands typically include:
- Extended periods of sitting or remaining in a stationary position
- Repetitive motion with use of hands, wrists, and fingers. Visual acuity for reading, monitoring, and screen work
- Occasional light lifting or carrying items weighing between 10 and 25 pounds, such as printer paper, or small equipment
- Occasional reaching, bending, or stooping to reach lower files or adjust equipment
