Overview
We are seeking a dedicated and highly organized Client Services & Immigration Support Officer to join our team. This role involves providing exceptional client service, managing immigration-related documentation, and supporting project management activities. The ideal candidate will possess strong communication skills, bilingual proficiency in English and French, and extensive experience with various computer applications. Responsibilities
- Answer incoming telephone calls and respond to client inquiries in a professional and courteous manner.
- Respond to WhatsApp messages, emails, portal chats, and other client communications.
- Conduct initial client intake and gather basic information from prospective clients.
- Schedule consultations and manage consultant calendars.
- Follow up with prospective clients regarding consultations, retainers, and outstanding documents.
- Create and maintain client files within the firm's case management system.
- Request, organize, review, and track client documentation.
- Assist immigration consultants with application preparation and file management.
- Prepare draft forms, document checklists, and administrative correspondence for consultant review.
- Monitor file progress and follow up with clients regarding outstanding requirements.
- Maintain accurate records of client interactions and file activities.
- Assist with the preparation and submission of immigration applications under the supervision of a licensed consultant.
- Support consultants in managing deadlines and ensuring timely file progression.
- Assist with social media inquiries and lead management.
- Maintain confidentiality of all client and company information.
- Provide general administrative support to management and consulting staff as required.Serve as the primary point of contact for clients, addressing inquiries with professionalism and efficiency.
- Utilize Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) to prepare reports, presentations, and correspondence.
- Oversee records management and filing systems to ensure easy retrieval of information.
- Coordinate project activities using project management tools such as Microsoft Project and SharePoint.
- Conduct analysis of client data and immigration records to support decision-making processes.
- Assist in procurement processes and manage databases related to client information and case files.
- Prepare written reports, summaries, and presentations demonstrating strong writing skills and organizational abilities.
- Support leadership in administrative tasks including scheduling, negotiation, and process improvement initiatives.
- Maintain excellent communication skills to liaise effectively with clients, government agencies, and internal teams.
Experience
- Proven experience in customer service or client support roles within an immigration or legal environment is preferred.
- Demonstrated administrative experience with proficiency in Microsoft Office applications including Word, Excel, PowerPoint, Access, Outlook, SharePoint, and online communication tools..
- Bilingual fluency in English and French is highly desirable; strong communication skills in both languages are required.

Pay: $16.28-$17.00 per hour
