About this Role
The Design Centre Coordinator is responsible for organizing and managing various administrative requirements for the Design Centre. In this role, the Design Centre Coordinator is responsible for maintaining front desk reception needs, maintaining on-going general office administration and assisting the Design Consultants in the preparation for appointments. This position plays a key role in ensuring that our clients and guests are greeted and feel welcomed at our office. All responsibilities must be performed in a manner consistent with the Taggart Group of Companies vision, mission, and must comply with all company policies and procedures.
Key Responsibilities:
- Greet arriving clients, notify the appropriate Design Consultant, and facilitate introductions when required.
- Respond to telephone calls and email inquiries in a timely manner, providing information to current and prospective clients and directing communications to the appropriate team members.
- Coordinate and maintain appointment schedules for Design Consultants, ensuring efficient calendar management.
- Prepare for and conduct initial client appointments, including Design Centre tours and reviews of standard features, upgrade options, and the selection process.
- Assist Design Consultants with the preparation and organization of documentation for client appointments and design selections.
- Support clients throughout the selection process by answering questions and assisting with the completion of selection and upgrade information.
- Maintain the appearance and organization of the Design Centre, ensuring meeting spaces, displays, and common areas are clean, orderly, and fully stocked.
- Manage office supply inventory, coordinate ordering as needed, and distribute incoming mail and deliveries.
- Prepare and format documents, reports, presentations, and internal and external correspondence as required.
- Contact clients regarding reselections, changes, or outstanding information, ensuring all documentation is accurate, complete, and up to date.
- Provide administrative and operational support to the Design Centre team and perform additional duties as assigned.
Education and Experience Requirements:
- High-school diploma is preferred. A diploma in interior or architectural design would be considered an asset.
- One to two years of experience in customer service, reception or administration is preferred.
- Ability to coordinate several simultaneous tasks while maintaining a positive attitude and flexible work style.
- Ability to follow instructions, and a strong attention to detail.
- Good organization and time management skills, with the ability to complete tasks as per the prescribed schedule/timelines.
- Self-motivated with the ability to work well independently, and a willingness to learn.
- Strong time management, prioritization, and multi-tasking skills.
- Demonstrated ability to communicate verbally and in writing in English.
- Passion for interior design, residential construction or home décor is preferred.
- Proficiency in Microsoft Office (Excel, Adobe) and comfortable learning new software
- Ability to maintain confidentiality and handle sensitive information professionally
Physical/Sensory Effort/Work Environment
- Providing service to several people or departments, working under many simultaneous deadlines.
- Sitting or standing for long periods of time at workstation.
- Manual dexterity required to use desktop computer and peripherals.
- Repetitive work.
- Overtime may be required.
