We are a fast-growing live video monitoring and security tech company based right here in Calgary. We keep businesses and properties safe using high-end camera systems and live monitoring tech.
We have an incredible, fast-moving team of salespeople and technicians, but we need an organized, proactive Operations & Office Coordinator to step in, keep our management team on track, and ensure our daily office workflows run like clockwork.

What You’ll Do (Responsibilities)
You will be the central hub of our office. Don't worry—we have data entry staff for the heavy lifting in our bookkeeping software, but you will be the gatekeeper ensuring everything is accurate and moving forward:
- Keep Management Organized: Politely but firmly hold management accountable to their tasks, follow up on deadlines, and keep our leadership team organized.
- Workflow Coordination: Route incoming sales leads to the sales team immediately and dispatch work orders to our technicians.
- Financial Quality Control: Review entries made by the data entry team in our bookkeeping software to make sure invoices and expenses are accurate. Assist clients and vendors with Accounts Receivable (AR) and Accounts Payable (AP) inquiries.
- Grants & Compliance: Proactively look into and research relevant government business grants, manage local registry work, and apply for necessary business/security licenses.
- Client Support: Customer service is key! You will guide clients through our online portals and camera mobile apps to ensure they know how to use their systems.
- Quotes & Proposals: Learn our basic pricing, camera placements, and systems to double-check that our quotations team is sending out accurate proposals that meet all client requirements.
- Admin Support: Assist with filling out vendor documents, getting insurance certificates sent over to clients, and general assistant work for management.
What We Are Looking For (Qualifications)
This is a Junior to Intermediate level role. We don't expect you to know the security industry inside and out on Day 1—we will train you! However, you must bring the following to the table:
- Experience: 1–3 years of office administration, coordination, or customer service experience.
- The "Wrangler" Personality: You are naturally highly organized, details never slip past you, and you are confident enough to manage schedules for busy bosses.
- Tech Savvy: You are comfortable learning new software, navigating mobile apps (to help clients), and have basic exposure to digital business tools and invoicing software.
- Great Communicator: Professional, friendly phone presence and clear email writing skills.
- Reliable: Since you'll have a flexible mid-day break, you are someone who manages their time exceptionally well and ensures the morning and afternoon goals are met.
