Purpose
The Benefits Coordinator reports to the Manager, Total Rewards. The role is responsible for the accurate and timely administration of Armstrong Collective’s benefits programs, serving as the primary point of contact for benefits and ensuring a consistent, high-quality employee experience through dependable service, sound judgment, and strong attention to detail. In addition, the role provides essential administrative and reporting support to the payroll function, contributing to accurate processing and compliance.
Key Areas of Accountability
Benefits Program Support and Administration
- Administers all employee benefits, RRSP, and other retirement savings programs, including new hire enrollments, life events, coverage changes, and status updates, ensuring accuracy and timeliness.
- Provides clear, timely, and confidential support for employee benefit inquiries in accordance with plan provisions, policies, and regulatory requirements.
- Takes ownership of employee requests, ensuring inquiries are tracked, followed through, and resolved within expected timelines.
- Delivers a positive employee experience through consistent communication, dependable service, and attention to individual needs.
- Supports monthly and annual reconciliation of benefits invoices and statements against employee and payroll records.
- Partners with Finance to ensure benefits-related payments and invoices are accurately coded and reconciled.
- Partners with People & Culture Business Partners to support employee terminations, including communication of benefit end dates and retirement information.
- Supports annual benefits renewals by preparing data, compiling materials, and assisting with employee communications.
- Collaborates with HRIS, People Data, and Payroll partners to ensure system configurations accurately reflect plan changes, deductions, and taxable benefits.
- Coordinates with vendors, brokers, and consultants to maintain current plan documentation and intranet content.
- Participates in benefits and wellness market surveys and assists with trend analysis.
- Supports compliance-related reporting requirements for global group benefits plans.
Qualifications
Education / Certification
- Human Resources Certificate; preferred.
Experience
- 2+ years of related human resources work experience and knowledge of benefits administration, practices and procedures, required.
- Experience working with HRIS and Payroll systems; is an asset.
Skills
- Intermediate proficiency in Microsoft 365 applications, with strong emphasis on Excel.
- Demonstrated ability to organize work effectively, manage competing priorities, and consistently meet deadlines.
- A strong sense of accountability and ownership, ensuring high standards of quality, accuracy, and timeliness.
- Proven ability to exercise discretion and maintain confidentiality when handling sensitive information.
Work Environment
- Vancouver-based; hybrid role with 3 days in office.
Compensation
- The base salary offered for this role is $55,000 to $65,000 per annum and can vary based on job-related expertise, qualifications, experience and internal equity.
