Responsibilities
- Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.
- Handle multi-line phone systems, answer inquiries, and provide outstanding customer service to clients and staff.
- Perform data entry tasks accurately using Microsoft Office tools, Google Workspace, and QuickBooks for bookkeeping and record-keeping purposes.
- Maintain organized filing systems—both digital and physical—to ensure easy retrieval of documents and records.
- Support administrative functions such as scheduling appointments, coordinating meetings, and preparing correspondence.
- Assist with dental office tasks including patient check-in/check-out, insurance verification, and appointment reminders.
- Conduct proofreading of documents to ensure accuracy and professionalism before distribution.
- Support bookkeeping activities by managing invoices, receipts, and financial records with precision.
- Maintain office supplies inventory and place orders as needed to keep the workspace fully equipped.
- Provide exceptional customer support at the front desk by managing inquiries efficiently and courteously.
Qualifications
- Must be able to work well with minimal supervision.
- Must have proven record of the ability to follow through on tasks and take initiative.
- Must be able to work evenings and weekends.
- Comfortable following up on account receivables.
- Proven clerical experience with strong organizational skills in an office environment.
- Proficiency in computers and the ability to learn new software quickly.
- Excellent computer skills including data entry, typing speed, and familiarity with multi-line phone systems.
- Previous experience in medical or dental offices is highly desirable; familiarity with dental receptionist duties or medical office procedures is a plus.
- Strong attention to detail with proofreading skills to ensure error-free documents.
- Outstanding customer service abilities with professional phone etiquette.
- Ability to handle filing systems efficiently—both electronic and paper-based—while maintaining confidentiality when necessary.
- Demonstrated ability to prioritize tasks effectively in a busy environment while maintaining a positive attitude.
- Diploma in office administation or a related feild not required but preferred.
