Hours: Monday–Friday, 7:00 AM – 5:00 PM and every Saturday, 7:00 AM – 12:30 PM. JLM is willing to discuss a Tuesday–Saturday schedule for the right candidate. Also willing to discuss a later weekday start time. Saturday’s and 5pms are a requirement.

This position is ideal for someone who enjoys working with people, learning new skills, and supporting a fast-paced operation. Strong communication skills, a positive attitude, and a willingness to learn are essential. Previous administrative experience and customer service experience are considered strong assets.
Job Summary
This role combines scale operations, customer service, administrative support, and cash handling responsibilities. The successful candidate will be responsible for weighing inbound and outbound vehicles, processing transactions, coordinating customer inquiries, maintaining records, and supporting daily office operations.
We are looking for someone who is flexible, willing to assist with coverage when needed, and eager to learn various aspects of the scrap metal recycling industry.
Key Responsibilities
Scale Operations
· Weigh inbound and outbound scale traffic accurately.
· Operate scale software and equipment.
· Verify scale tickets and ensure transaction accuracy.
· Learn metal grades for buying and selling scrap materials.
· Maintain radio communication with yard operations.
· Direct inbound loads to the appropriate unloading areas.
· Complete load records and documentation accurately and in a timely manner.
Customer Service
· Provide friendly, professional, and knowledgeable customer service.
· Greet customers and assist with inquiries.
· Answer phones promptly and direct calls appropriately.
· Respond to customer concerns and resolve issues professionally.
· Coordinate scrap vehicle and bin pickups.
· Assist customers with unloading and organizing materials when required.
Administrative & Office Support
· Perform daily administrative and reception duties.
· Process invoices, payments, and customer account transactions.
· Reconcile accounts and apply payments accurately.
· Maintain filing systems for invoices, records, and finance documents.
· Enter and maintain accurate electronic and paper records.
· Manage purchase orders and related documentation.
· Ensure company systems and processes operate efficiently.
· Support accounting and administrative functions as required.
Vehicle & Scrap Processing Administration
· Go outside to photograph incoming vehicles.
· Complete required vehicle paperwork and upload documentation into company systems.
· Maintain accurate records related to vehicle purchases and inventory.
Cash Handling & Reconciliation
· Follow all cash handling procedures and company policies.
· Process cash, debit, cheque, and electronic payments accurately.
· Complete daily cash reconciliation and end-of-day balancing.
· Perform opening and closing procedures as assigned.
Office Organization & Maintenance
· Keep the scale house and office clean, organized, and professional.
· Restock office supplies and maintain inventory.
· Assist with reorganizing files, records, and workspaces.
· Help maintain an orderly and safe working environment.
Team Support & Collaboration
· Work closely with office and yard staff to support daily operations.
· Assist with various projects and operational needs.
· Stay productive during slower periods by organizing, filing, purchasing supplies, updating records, or assisting with other tasks.
· Participate in team meetings and contribute to a positive workplace culture.
· Show initiative by identifying opportunities for improvement while considering the company needs.
Qualifications Required
· High school diploma or equivalent.
· Strong communication and interpersonal skills.
· Excellent customer service skills.
· Basic computer proficiency, including Microsoft Office 365.
· Strong attention to detail and organizational skills.
· Good basic math skills.
· Ability to multitask and adapt in a fast-paced environment.
· Reliable transportation and valid driver's license.
· Ability to work independently and as part of a team.
· Ability to learn new systems, processes, and industry knowledge.
Assets
· Previous administrative or office experience.
· Previous customer service experience.
· Experience with cash handling and balancing.
· Experience in recycling, transportation, industrial, or scale operations.
· Knowledge of accounting, bookkeeping, or invoicing processes.
Working Conditions
· Work is performed in both office and industrial yard environments.
· Exposure to outdoor weather conditions is expected.
· Occasional lifting, walking, and standing may be required.
· Personal Protective Equipment (PPE) must be worn when required.
· Flexibility to assist with coverage and occasional extended hours during peak periods is required.
