Position: Deals Assistant - Real Estate Deals Administrator
Location: In-Person (North York)
Schedule: Monday to Friday, 9:00 AM – 5:00 PM
Position Overview
This full-time role executes the processing, tracking, and compliance of real estate transactions within our brokerage ecosystem. We are seeking a motivated, detail-oriented, and highly organized, Deals Administrator with established experience in real estate brokerage backend administration. The ideal candidate has strong numerical proficiency, thrives in a fast-paced environment, and is familiar with Ontario real estate regulatory standards.
Key Responsibilities
- Data Entry: Perform accurate data entry into spreadsheets and accounting systems.
- Deal Tracking: Administer resale and pre-construction transactions from offer acceptance through closing, including listings, co-operating deals, amendments, and mutual releases.
- Deal Facilitation & Communication: Liaise with agents, clients, builders, and legal offices to resolve discrepancies, follow up on missing paperwork, and facilitate smooth, efficient deal processing.
- Process Documentation: Review and process deal documentation to ensure strict compliance with OREA, RECO, TRREB, and FINTRAC requirements. Maintain organized digital transaction files and support audit preparation.
- Reporting: Assist with preparing weekly and month-end reports.
- Reconciliation: Perform monthly trust account and commission account reconciliations, verifying deposits, trust liabilities, and transaction records. Handle accounts payable/receivable and calculate commission payouts.
- Confidentiality: Maintain strict confidentiality of all financial information.
Qualifications:
- Minimum 1 year Deal Administrator experience
- Post-secondary education (College or University)
- Strong proficiency in Microsoft Excel and Office Suite.
- Exceptional accuracy and attention to detail.
- Ability to work independently and meet deadlines.
- Reliable, trustworthy, and professional.
- Ability to focus in a fast-paced environment.
