Job Description:
The Bookkeeper is responsible for maintaining accurate financial records and supporting the organization’s accounting operations. This position ensures that all financial transactions, donations, invoices, and accounting records are properly recorded, maintained, and prepared for review. The Bookkeeper plays an important role in maintaining financial accuracy, compliance, and organized record-keeping.
Key Responsibilities
- Record and maintain accurate records of all donations received through various payment methods.
- Record, review, and reconcile transactions from multiple bank accounts.
- Enter vendor invoices, bills, and organizational expenses into QuickBooks.
- Maintain accurate and up-to-date QuickBooks records and supporting Excel spreadsheets.
- Prepare monthly Profit and Loss (P&L) reports and assist with financial reporting requirements.
- Maintain student Building Fund records and ensure accurate tracking of related transactions.
- Track Building Bonds and maintain proper documentation.
- Prepare annual donation reports and maintain donor-related financial records.
- Create customer profiles for new students and maintain accurate account information.
- Issue Building Fund receipts and ensure proper documentation is maintained.
- Prepare invoices and supporting documents required for cheque printing and payment processing.
- Identify and track AGLC-eligible expenses and maintain supporting records.
- Maintain organized electronic and physical financial files.
- Ensure all accounting transactions, supporting documents, and records are complete and prepared for verification by the designated reviewer.
- Assist with month-end, year-end, and audit-related financial processes as required.
- Maintain confidentiality of financial, student, and donor information.
- Perform other bookkeeping and administrative duties as assigned.
Qualifications & Skills
- Previous experience in bookkeeping, accounting, or financial administration.
- Proficiency with QuickBooks and Microsoft Excel.
- Strong attention to detail and accuracy in financial record keeping.
- Ability to manage multiple accounts, transactions, and deadlines.
- Strong organizational and time-management skills.
- Ability to maintain confidentiality and handle sensitive financial information.
- Strong communication and problem-solving skills.
Working Relationships
The Bookkeeper works closely with administration, finance personnel, and designated reviewers to ensure accurate financial reporting and effective financial operations.
