WHAT WE OFFER:
This position requires an average of 12 hours per week, paid monthly. Standard workdays 10.am-2.pm, on Tuesday, Wednesday, Thursday. 6-month probationary period. Annual vacation accrues beginning at 3 weeks (in accordance with Saskatchewan Employment Standards).
JOB REQUIREMENTS:
Primary Responsibilities
Reporting directly to the Incumbent Priest, the Church Secretary will ensure the efficient administration of the parish office, supporting the Incumbent Priest, Wardens and various volunteers as they carry out the work of their respective ministries.
Essential Job Functions/Tasks
In meeting the primary responsibilities, the tasks of Church Secretary will include, but are not limited to, the following:
Worship Support
· Creates worship bulletins for weekly and special services
· Liaises with Worship Volunteers (i.e. readers, intercessors, etc.)
· Maintains Lectern Book
· Delivers worship material to the church
· Completes all wedding, funeral, confirmation and baptism registers and documents as required by the Incumbent Priest
Communications
· Greets parish visitors in a kind and compassionate manner and assists them as needed
· Management of correspondence and messaging systems in timely and courteous manner, responding and re-directing as necessary (includes telephone, emails, postal mail)
· Changes the voice mail message on the church telephone system to ensure upcoming services and special events are conveyed
· Maintenance of Parish Bulletin board
· Assists with weekly electronic newsletter, which contains notice of upcoming events
· Assist in maintenance of website and social media
Office Management
· Maintains adequate inventory of all office supplies
· Under direction of the Property Committee Chair, coordinates use and rental of church and hall facilities
· Assist with financial record-keeping
Administration
· Maintain up-to-date parish list
· Maintains and distributes monthly calendars (including updates)
· Notify verger, and/or parking company of services and special events as required
· Maintains vestry records, in collaboration with recording secretary
· Collects ministry reports and assembles, produces and distributes the annual report
· Assist Incumbent Priest as required
*Other duties as assigned by the members of the Corporation

· Friendly "face of the parish" for all callers and visitors to the office
· Ability to work in an environment where interruptions are normal

· Ability to set and maintain healthy boundaries
· Comfort working in a faith-based organisation (regardless of your personal beliefs: Christian faith not requisite for the position)
Professional Qualifications
· High School Diploma or Relevant Work Experience
· Successful Police Records Check (to be updated every 3 years)
· Compliance with Diocesan Policies and Procedures
