MINIMAL FORMAL EDUCATION REQUIRED:
Preference given to Indigenous (First Nations, Métis or Inuit) candidates.Candidates are asked to self-declare in their cover letter.
- Completion of a formal training program in a related discipline from a recognized institute plus three years of directly-related experience.
- Completion of the Medical Office Assistant program from a recognized institution is preferred.
EXPIERENCE:
- Three years of directly related experience in a First Nations, Métis or Inuit Healthcare setting is required.
- Three years of directly related experience providing administrative support is required.
- Experience in a healthcare setting is preferred and considered an asset.
- Experience providing administrative support to a team or program is preferred and considered an asset.
- Proficiency in Microsoft Office programs, including Word, Excel, PowerPoint, SharePoint, Adobe Pro, is required.
- Proficiency in keyboarding with speed and accuracy is required.
- Proficiency in drafting written communications including letters, memos, posters, spreadsheets, etc. is required.
- Proficiency in minute taking is required.
- Medical Terminology is preferred.
- Experience with EPIC, and Concur is essential and considered an asset.
- Experience maintaining supply inventory, ordering supplies, packing supplies and arranging transportation of supplies, is essential and considered an asset.
- Experience coordinating couriers/deliveries/messengers, is essential.
- Cultural awareness training is an essential.
- An acceptable equivalent combination of education and experience may be considered.

- A satisfactory work record, including satisfactory attendance and punctuality, is required.
- Responsible for arranging air and ground transportation for Renal Health Program staff, regularly from Winnipeg to Garden Hill and return.
- Responsible for the procurement and transportation of medical equipment and supplies to and from Winnipeg and Garden Hill. This will include arranging courier and delivery of materials, supplies and equipment between Perimeter Airport and the OHS office.
- Prepares purchase requisitions for materials, supplies and equipment; collects, compiles, and reconciles monthly invoices; prepares journal entries, account adjustments and reports as well as purchase card reconciliation.
- Assists with travel claims for all travel/accommodation/meals for dialysis nurses and the program dietician.
- Provides daily administrative support to the Director of Nursing Program.
- Prepares (formats, assembles data, pulls together and types) quarterly, annual and other reports for and about the Renal Health Program and its activities from material provided by various staff, including trip reports from nurses, narrative reports from the Director or others, and statistics from other sources. This involves considerable confidential communication with health facilities, program personnel and others.
- Provides coordination and administrative support in the ongoing accreditation process, setting up self-assessment meetings with the accreditation teams, liaising with the accreditation coordinator and Accreditation Canada, setting up site visits, compiling and forwarding accreditation reports, etc.
- Coordinates in-person and virtual meetings and workshops via TEAMS or Zoom, books rooms (including the booking of Tele-Health) and theatres, transcribes and duplicates reports, minutes and related material, distributes material to various individuals and agencies with only general direction, arranges printing, supplies, photocopying and filing, etc. for meetings. Includes contacting meeting/workshop participants, booking educational support equipment, preparing hospitality forms and obtaining required approvals. Also responsible for taking minutes as required for all Renal Health Program meetings.
- Provides program information to staff, students and the public about the Renal Health Program. Provides resources and program information to prospective, new and current employees regarding the Renal Health Program.
- Directs staff with confidential matters concerning other staff, clients, physicians as well as other staff/client/physician queries and complaints to the program Director.
- Under the direction of the program Director or Manager, prepares and formats presentations used for education, reporting and conferences in collaboration with others in the Program.
- Acts as a backup to the Unit’s front receptionist, completing reception duties (telephone, direct personnel, mail, couriers, deliveries etc.). This requires good knowledge of the Unit's activities to ensure appropriate handling of all enquiries. This includes receiving, screening and referring visitors, prioritizing and directing calls, taking messages and providing required information as needed.
- Maintains the Renal Program office files and Renal Nurse Staff Database for the Renal Health Program, and maintains program and office records and program material.
- Provides general administrative support to the program, including added administrative support that may be required in the event of community evacuation and disaster relief.
- Registers or assists with the registration and placement of new Renal Health Nurses in the Manitoba Nephrology Nurse Course 9-week program.
- Maintains written program and renal unit procedures, indexes, logs and records for activities within the area of responsibility. Maintains appropriate file systems and records with guides and indexes, including computer records, back-up files, etc.
- Processes daily mail, which includes picking up, opening, dating, stamping, recording, reviewing and sorting (identifying and immediately dealing with high priority items), distributing and forwarding to appropriate program and/or Unit staff and preparation of outgoing mail.
- May be required to perform related duties not exceeding skills and capabilities as required.
