Harbour Energy Systems Ltd. is seeking a reliable, organized Office Clerk/Administrative Assistant to support our busy HVAC operations team in Richmond. This position is ideal for someone who enjoys a fast-paced office environment, has strong organizational skills, and is comfortable handling a variety of administrative tasks.
You will work closely with the owner and the office team to help keep daily operations running smoothly while supporting technicians, customers, and internal projects.
Responsibilities
- Answer and direct incoming phone calls and emails
- Schedule appointments and coordinate service calls
- Assist with customer inquiries and follow-ups
- Prepare quotes, invoices, and other business documents
- Enter and maintain customer and job information in company systems
- Organize and file electronic and paper records
- Assist with payroll, accounts receivable, and accounts payable tasks
- Order office supplies and maintain inventory
- Support the owner with administrative projects and day-to-day office tasks
- Coordinate communication between office staff, technicians, and customers
- Perform general clerical duties as required
Qualifications
- Previous administrative, office clerk, or customer service experience preferred
- Strong computer skills, including Microsoft Office (Word, Excel, Outlook)
- Excellent verbal and written communication skills
- Strong attention to detail and organizational abilities
- Ability to prioritize tasks and manage multiple responsibilities
- Professional and friendly attitude
- Experience in HVAC, construction, trades, or service industries is an asset, but not required
