This 3-month volunteer opportunity is ideal for students, recent graduates, or individuals looking to build practical HR experience in a supportive environment. Working alongside our HR Business Partner and HR Manager, you'll gain valuable exposure to HR administration, HRIS (UKG), onboarding support, compliance tracking, and confidential records management while contributing to an important organizational initiative.

SUMMARY
The HR Volunteer assignment is intended to provide unpaid administrative work experience while supporting Hopewell’s temporary HR documentation and records maintenance project. The volunteer will assist with organizing, updating, and centralizing HR records in UKG and provide clerical support under the direct supervision of the HR Business Partner, with project milestones reviewed by the HR Manager.
The volunteer will receive guidance, exposure to HR administrative processes, and practical experience in records management, onboarding support, compliance tracking, and HR documentation.
KEY VOLUNTEER ACTIVITIES
The volunteer may support the following project and administrative activities:
- Assist with transferring employee documents from the shared drive and old systems into UKG.
- Support the centralization of personnel records for active, inactive, leave of absence, and terminated employees.
- Label uploaded documents accurately using the correct file name, document type, and reference date.
- Assist with organizing documents such as Vulnerable Sector Checks, Broad Record Checks, First Aid/CPR certificates, driver’s licences, training records, and other employment-related documents.
- Support the entry of expiry dates in UKG to assist with future automation, reminders, compliance tracking, and scheduling.
- Assist with maintaining secure and organized confidential employee records and personnel files.
- Support orientation logistics, including preparing materials for new hire onboarding.
- Perform other related HR administrative support activities as assigned by the HR Business Partner.
SUPERVISION AND QUALITY CONTROL
The HR Business Partner will provide day-to-day supervision, assign tasks, and review the volunteer’s work regularly. The HR Manager will conduct a second-level review of key project milestones to ensure accuracy, consistency, confidentiality, and completion of the documentation project. Regular check-ins will be scheduled to review progress, address questions, and ensure the volunteer receives appropriate guidance and support.
CONFIDENTIALITY AND ACCESS
Due to the confidential nature of employee records, the volunteer will be required to maintain strict confidentiality at all times. Access to employee records, shared drives, UKG, and HR documents will be limited to what is necessary for the assigned volunteer activities and will be monitored by HR.
EXPECTED LEARNING OUTCOMES
Through this assignment, the volunteer will gain practical exposure to:
- HR records management;
- HRIS documentation processes;
- Employee file organization;
- Compliance tracking;
- Onboarding administration;
- Confidential document handling; and
- general HR administrative support in a not-for-profit developmental services environment.
PROJECT COMPLETION EXPECTATIONS
The assignment will be considered successful when agreed project milestones are completed, including accurate upload, labelling, dating, and organization of employee records in UKG, subject to review and approval by the HR Business Partner and HR Manager.
