Priority Health Clinic is a high volume Family Health Organization and Urgent Care clinic serving Pickering and the Durham Region. Our clinic operates in a fast paced environment where strong teamwork, accountability, and consistency are essential to maintaining safe and efficient patient care.
The Role
We are seeking an experienced Medical Office Administrator to support our Urgent Care and Family Medicine operations during evening and weekend hours. This role requires someone who is confident working independently, able to manage high patient volumes, and comfortable making decisions in a fast paced clinical environment.
Key Responsibilities
- Manage patient check in and registration, ensuring accuracy of demographics, OHIP, IFHP, and consent documentation
- Coordinate patient flow in a high volume setting alongside nursing staff, physicians, and credentialed staff.
- Handle patient check out, including and private pay billing, payment processing, and receipt issuance
- Manage incoming phone calls, and voicemails with efficiency and professionalism
- Book, reschedule, and manage appointments within Telus CHR
- Maintain accurate and complete documentation for patient messages within the EMR
- Monitor and action incoming fax and email communications
- Support urgent care workflows, including walk in patient intake and direction
- Address patient concerns and escalations with professionalism and sound judgment
- Complete end of day administrative tasks and closing checklist requirements
- Maintain a clean, organized, and professional front desk environment
- Uphold strict adherence to PHIPA and all patient privacy and confidentiality requirements at all times
Required Qualifications
- Medical Office Administration Diploma (required)
- Minimum 1 year experience in a Family Medicine or Urgent Care setting
- Strong working knowledge of Telus CHR or similar EMR
- Current Police Check with Vulnerable Sector Screening (or ability to provide)

Availability & Reliability Expectations
This position is strictly for evening and weekend coverage and is structured to support urgent care operations during these times.
- Weekday evenings: 2:30 PM to 8:00 PM or 4:00 PM to 8:00 PM, or until the last patient has left and closing duties are complete
- Weekends: 8:30 AM to 3:00 PM, or until the last patient has left and closing duties are complete
Please note:
- This role is strictly for evening and weekend shifts. Daytime weekday shifts are not available
- Shift end times are dependent on patient volume and may extend beyond scheduled hours
- Availability must consistently align with these shifts on an ongoing basis
- Changes to availability after hire cannot be accommodated
- Reliable attendance and punctuality are essential
