Executive Summary
CMI Financial Group is seeking an experienced, highly detail-oriented, bilingual French/English Mortgage Fulfilment Officer to join our growing Operations team. This role is critical to ensuring the accurate and timely funding of mortgage transactions across CMI's diverse lending platform, including residential, commercial, construction, and alternative private mortgage products, while supporting French- and English-speaking brokers, borrowers, legal partners, and internal stakeholders across Canada.
The ideal candidate will possess extensive knowledge of mortgage funding processes, strong analytical skills, and the ability to manage a high-volume pipeline while maintaining exceptional accuracy. This individual will be fully bilingual in French and English, with the ability to review documentation, communicate clearly, and provide professional service in both official languages. They will work collaboratively with Underwriters, Business Development Managers, Mortgage Brokers, and legal professionals to ensure seamless mortgage closings and an exceptional client experience.

Position Overview
The Mortgage Fulfilment Officer is responsible for managing all aspects of the mortgage funding process from receipt of final approval through successful closing and disbursement. The successful candidate will ensure all funding conditions have been satisfied, required documentation has been received and verified, and mortgage proceeds are released accurately and on schedule, while providing bilingual French/English support throughout the closing process.
Working in a fast-paced and evolving lending environment, the Mortgage Fulfilment Officer must demonstrate exceptional organizational skills, strong attention to detail, and the ability to manage multiple transactions simultaneously while maintaining compliance with internal lending policies and regulatory requirements.
Key Responsibilities
Mortgage Funding & Loan Administration
- Review and verify all prior-to-funding conditions have been satisfied and appropriately documented.
- Prepare and process mortgage funding packages, closing instructions, and disbursement documentation.
- Review mortgage files to ensure compliance with all lending guidelines, approval conditions, and company policies.
- Coordinate mortgage closings with legal counsel, brokers, and internal stakeholders.
- Accurately process wire instructions, disbursement schedules, and mortgage advances.
- Facilitate the timely release of mortgage funds and ensure accurate transaction settlement.
- Maintain comprehensive and organized mortgage file documentation throughout the funding process.
Documentation Review & Quality Assurance
- Analyze and validate mortgage-related documentation, including Purchase and Sale Agreements, mortgage statements, T1 General tax returns, Notices of Assessment, T4A statements, insurance policies, property tax bills, and income verification documentation.
- Ensure all documentation complies with internal policies, underwriting requirements, and funding conditions.
- Identify deficiencies, discrepancies, or risk concerns and escalate appropriately.
Collaboration & Stakeholder Management
- Develop and maintain strong working relationships with Underwriters, Business Development Managers, Mortgage Brokers, solicitors, legal counsel, and internal Operations teams.
- Work collaboratively with Underwriters and management to resolve complex funding issues.
- Provide exceptional customer service throughout the closing process.
- Follow up proactively with brokers and legal representatives regarding outstanding conditions and documentation.
- Communicate professionally in both French and English with brokers, borrowers, legal representatives, and internal teams regarding funding requirements, outstanding conditions, documentation, and closing timelines.
Pipeline & Productivity Management
- Manage a high-volume funding pipeline while meeting strict closing deadlines.
- Prioritize multiple transactions simultaneously in a fast-paced environment.
- Maintain service level standards and funding turnaround expectations.
- Demonstrate flexibility in responding to changing priorities and urgent funding requests.
Compliance & Risk Management
- Ensure adherence to all company policies, lending guidelines, and operational procedures.
- Support regulatory compliance and risk mitigation efforts throughout the funding process.
- Maintain confidentiality and accuracy of borrower and investor information.
- Escalate file-specific concerns that may impact funding decisions or timelines.
Qualifications & Experience
Education
- Post-secondary diploma or degree in Business, Finance, Accounting, Economics, or a related discipline preferred.
Experience
- Minimum 3+ years of mortgage funding, mortgage administration, or mortgage operations experience.
- Previous experience within alternative lending, private mortgage lending, trust companies, or financial institutions strongly preferred.
- Demonstrated expertise with A Lending, B Lending, and Private Mortgage Lending.
- Strong understanding of mortgage closing procedures, documentation requirements, and funding practices.
- Experience managing high-volume mortgage transactions within strict service standards.
Technical Skills
- Proficiency using Microsoft Office Suite, including Word, Excel, and Outlook.
- Experience using Adobe Acrobat Professional, document management platforms, mortgage origination and funding systems, and digital file management tools.
Language Requirements
- Bilingual French and English fluency, written and verbal, is required, including the ability to review mortgage documentation, communicate with external partners, and provide clear service in both languages.
