Job Summary
We are seeking a professional and organized Front Desk Agent to serve as the first point of contact for our clients and visitors. The ideal candidate will possess excellent customer service skills, strong clerical abilities, and proficiency in office software. This role involves managing multi-line phone systems, handling data entry, and providing administrative support to ensure smooth daily operations. Prior experience in medical or dental offices is a plus, but a positive attitude and organizational skills are essential. The Front Desk Agent will contribute to creating a welcoming environment while supporting various administrative functions.
Responsibilities
- Greet visitors and clients professionally, ensuring a positive first impression
- Manage multi-line phone systems, directing calls efficiently and courteously
- Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
- Perform data entry with accuracy, including maintaining patient or client records
- Handle clerical tasks such as filing, photocopying, and proofreading documents
- Assist with billing, bookkeeping, or QuickBooks entries as needed
- Support administrative duties including mail handling, supply management, and document organization
- Provide excellent customer support by addressing inquiries promptly and professionally
- Maintain a clean and organized front desk area to promote a welcoming environment
- Follow proper phone etiquette and organizational procedures to ensure smooth office operations
Qualifications
- Proven experience in office administration or clerical roles; experience in medical or dental offices preferred
- Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry software
- Familiarity with QuickBooks and basic bookkeeping is advantageous
- Excellent organizational skills with keen attention to detail
- Exceptional customer service abilities and professional phone etiquette
- Ability to multitask efficiently in a fast-paced environment
- Strong typing, proofreading, and organizational skills
- Prior experience with front desk operations or multi-line phone systems is preferred
- High school diploma or equivalent required; additional administrative certifications are a plus
