About the Role
Hart Medical Services is seeking an experienced Medical Office Administrator to join our busy Cardiac & Diagnostic Ultrasound Clinic in Scarborough.
This is a full-time, in-person position in a fast-paced healthcare environment. We are looking for a highly organized, detail-oriented professional who is able to multitask, prioritize competing demands, and provide exceptional service to patients, physicians, and referring clinics.
Responsibilities
- Greet patients and visitors in a friendly and professional manner
- Schedule appointments and efficiently manage physician and sonographer schedules
- Register patients and maintain accurate electronic medical records
- Process patient reports, including uploading, downloading, archiving, and distributing reports and images
- Answer incoming telephone calls from patients, physicians, and medical offices professionally and efficiently
- Maintain confidentiality of patient information in accordance with privacy legislation
- Perform general administrative duties including filing, scanning, faxing, emailing, and document management
- Assist with report backup and archiving across multiple storage systems
- Coordinate with sonographers, physicians, and referring offices to ensure smooth patient flow
- Prioritize multiple tasks while maintaining accuracy and attention to detail
- Support the day-to-day operations of a busy diagnostic imaging clinic
QualificationsRequired
- Minimum 1 year of recent experience working in a busy Cardiac or Diagnostic Ultrasound Laboratory
- College diploma or degree, preferably in Medical Office Administration, Health Office Administration, or a related healthcare field
- Excellent English communication skills (spoken and written)
- Ability to multitask and work efficiently in a fast-paced environment
- Strong organizational, scheduling, and prioritization skills
- Fast and accurate keyboarding and computer skills
- Experience managing electronic medical records
- Comfortable communicating with patients, physicians, and medical clinics by telephone and email
- Knowledge of patient reporting, report distribution, file management, and electronic archiving
- Experience backing up and archiving reports and diagnostic files using multiple storage media
- Professional, dependable, and customer-service focused
Preferred
- Experience with diagnostic imaging software and PACS systems
- Experience working with cardiologists or radiologists
- Multilingual abilities are considered an asset, particularly Tamil
