ABOUT THE ROLE
The IRAS staff team at CMHA BC is responsible for supporting the province-wide independent rights advice service for involuntary patients under the Mental Health Act. The service is delivered using a partnership model that brings together multiple organizations and stakeholders. The Administrative Coordinator will support the work of assigning referral requests for rights advice and information that are received.
This role is central to the vision of the IRAS service – an accessible and low barrier service that provides timely access to rights advice. Success in the role will require attention to detail; comfort with technology; commitment to accessibility, inclusion, and cultural safety; comfort with ongoing learning; excellence in client service by phone and email; and the ability to problem solve in a relational and effective way.
DUTIES AND RESPONSIBILITIES
The duties and responsibilities include but are not limited to:
Maintain referral database and scheduling process
- Coordinate assignment and scheduling for IRAS rights advice meetings in the service’s scheduling and referral-management system.
- Review completed online forms of referrals made by mental health facilities through the scheduling portal for accuracy and completeness; liaising with referring facilities to obtain missing information and making corrections as needed in compliance with program operating standards.
- Maintain other tracking documents and registers for managing availability and facility in-person visits.
- Respond to routine technical and database-related inquiries to support virtual meetings and the referral scheduling system, including basic troubleshooting and contacting vendors to address issues related to the automated referral system; escalates more complex matters to the Supervisor.
Answer general inquiries by telephone and email
- Provide phone and email-based scheduling support to service users such as mental health facilities, clients and staff to submit Rights Advice meeting requests through the portal.
- Answer basic general correspondence by phone and email about what the Rights Advice Service provides and how to access it. Such as, who is eligible to access the service, how potential service users can request the IRAS, and what we can and cannot offer service users per the IRAS program outline.
- Respond to the public in a compassionate and welcoming manner.
- Document requests for IRAS service information made by the public.
- Comply with IRAS procedures for requesting and scheduling meeting support including language interpretation, disability accommodation, cultural support, and other options as available.
- Escalate more than basic questions or problems to supervisor.
Identifying opportunities for ongoing quality improvement
- Prepare and provide data reports, charts, tables, power point presentations etc on referral trends and statistics to CMHA Leadership as needed.
- Perform word processing duties such as updating manuals, checklists, and screencasts on recording devices using software applications.
- Gather and compile information to help create canned responses to commonly asked questions.
- Maintain organized files and suggest improvements to supervisor for shared file repositories by the IRAS team.
- Arrange logistics of team gatherings including drafting meeting minutes, if and as directed.
- Other administrative duties as needed.
Education & Experience
- Relevant post-secondary certification in Office Administration.
- Demonstrated experience managing appointments and scheduling for a large or complex service, including personal information.
- Customer service experience, preferably in a healthcare setting.
- Demonstrated experience providing client/customer support in a virtual environment.
- Personal experience with mental health issues, services, or involuntary treatment is an asset in this role.
- Demonstrated experience communicating in a welcoming, trauma-informed and culturally safe way.
- Experience working with others using collaboration and relationship-based approaches.
- Successful completion of background screening checks including a criminal record check and education verification.
Knowledge, Skills, and Abilities
- Strong attention to detail and ability to organize.
- Ability to work collaboratively and effectively with multiple communities and stakeholders.
- Ability to prioritize tasks.
- Ability to work independently.
- Awareness of systemic inequities related to gender, sex, race, Indigeneity, (dis)ability,
- substance use, and other aspects of a person’s identity.
QUALIFICATIONS
- Strong interpersonal, written, and verbal plain language communication skills.
- Resourcefulness and good judgment to identify and solve problems.
- Comfort with data entry, Office 365 software and web-based data management software.
- Familiarity with Microsoft Power BI is an asset.

WORKING CONDITIONS
- This position is 15 hours per week and is an ongoing Casual position with occasional Saturday coverage.
- The position can be based out of the Vancouver or Victoria office and offers the potential for hybrid working arrangements.
- The position is unionized through the Community Bargaining Association, and the hourly rate is $24.76 - $26.38.
