The Club is recruiting a Front Desk Receptionist (3 months' contract) to join our Admin. Department. This position will be responsible for creating a positive first impression for members and guests, representing the Club professionally, and facilitating effective communication among members, guests and Club employees.
Key Duties and Responsibilities
- Creates a welcoming environment for all members, guests and staff by greeting by name at entry and departure, and answering and connecting phone calls to the right parties.
- Maintains up-to-date knowledge of all Club departments, events and bookings via Northstar in order to assist members with enquiries, concerns and requests.
- Assist members in booking and cancelling appointments, as well as executing rain out blockage and posting messages through Northstar.
- Supports Club communications by receiving and distributing mail, and maintaining Club-wide printed information, forms and contact lists.
- Monitors Club entry by ensuring the usage of fob access and guest or vendor registration, keeping records of unauthorized entries, and communicating guest arrivals to the appropriate individuals to confirm guest accompaniment.
- Liaise with all departments to ensure member service expectation such as maintenance or housekeeping requests from members.
- Contacts appropriate departments on changes in members’ financial statuses and eligibility to charge items at the Club.
- Monitors security camera system at Club and reports unauthorized individuals or suspicious activities to Duty Manager.
- Collaborates with Duty Manager and makes Club-wide emergency announcements through paging system; answers phone calls from emergency services and assists with notifying all departments through Microsoft Teams.
- Logs and turns over any lost property to the Club’s lost and found area daily.
- Works in compliance with Occupational Health & Safety Act (OHSA) and any safety policies and procedures set out by the Club.
- Conduct self in alignment with the Well Played service model (Prompt, Personalized, Polite) to support member services and respect in the workplace.
Job Requirements
Education/Certification:
- Some post-secondary education required, preferably in hospitality or related program
- Standard First Aid and CPR/AED certification an asset
Experience:
- 2-3 years of experience in a private club or similar environment preferred
Skills:
- Working level proficiency in Microsoft Excel, Word, and Outlook required
- Office equipment and computer literacy in a professional setting required
- Knowledge in Northstar or similar club management software an asset
- Ability to interpret and implement policies in a customer-centric context
- Excellent written and oral communication skills
- Ability to multitask, prioritize requests and handle interruptions effectively
Working hours:
- Saturdays and Monday through Wednesday from 6am. to 2pm., and Sundays from 7am. to 3pm.
