Part-Time Administrator / Executive Assistant Fire Protection

We are a small, family-run fire protection company specializing in fire sprinkler systems, and we are looking for the right person to join our team in a key support role.
This position is more than a typical administrative role — it is designed more like an Executive Assistant / Operations Support position. As a small company, the business is essentially operated by the owner alongside one highly organized and dependable assistant working together day-to-day.
We are looking for someone who enjoys organization, communication, and helping keep a business running smoothly. The right person will become an important part of the company and grow with us long-term.
Responsibilities
- Answer and manage phone calls and emails professionally
- Schedule service calls, inspections, and appointments
- Prepare invoices, work orders, reports, and documents
- Organize customer files and service records
- Coordinate with customers, contractors, suppliers, and technicians
- Assist with day-to-day business operations and follow-ups
- Help keep the owner organized and on schedule
- General office administration and data entry
- Basic bookkeeping/accounting support is an asset
What We’re Looking For
- Highly organized and detail-oriented
- Strong communication and customer service skills
- Someone who enjoys administrative and support work
- Professional, dependable, and able to work independently
- Comfortable handling emails, calls, scheduling, and multitasking
- Experience as an Executive Assistant, Office Administrator, or similar role is an asset
- Fire protection or construction industry experience is an asset, but not required
- Fire protection knowledge can be taught. We are more focused on finding the right person with a strong administrative mindset, positive attitude, and willingness to learn.
