We are looking for a friendly, organized, and motivated Administrative Assistant who enjoys working with people and thrives in a fast-paced healthcare setting.
Position Summary
As the first point of contact for our patients, you will play an essential role in creating a positive experience from the moment they walk through our doors. The ideal candidate is personable, detail-oriented, dependable, and able to manage multiple priorities while maintaining excellent customer service.
Responsibilities
- Welcome patients and provide exceptional customer service
- Answer incoming phone calls and respond to emails
- Schedule, reschedule, and confirm appointments
- Manage patient records while maintaining confidentiality
- Process payments and balance daily transactions
- Submit and manage insurance claims when applicable
- Maintain an organized reception area and treatment schedules
- Assist with clinic opening and closing procedures
- Coordinate communication between patients and healthcare providers
- Assist with inventory management and ordering clinic supplies
- Promote clinic services, products, and retail items
- Support day-to-day administrative operations and special projects as needed
Qualifications
- Previous administrative or customer service experience (healthcare experience is an asset)
- Excellent verbal and written communication skills
- Strong organizational and time management abilities
- Ability to multitask in a busy environment
- Comfortable using computers, scheduling software, and Microsoft Office or Google Workspace
- Professional, positive, and compassionate attitude
- Ability to work independently and as part of a team
- Experience with electronic medical records (EMR) is considered an asset
- Experience with WSIB is considered an asset
