About Us:
Flourish Behavioural Health and Education is a values-driven Applied Behaviour Analysis (ABA) practice based in Northern Ontario. We provide compassionate, evidence-based services to neurodivergent children/youth and their families, with a focus on individualized care, innovation, and professional integrity. As our team grows, we’re looking for an Administrative Assistant to help support the operational side of our clinic.
Position Overview:
We are seeking a reliable and organized Administrative Assistant to provide full‑time temporary coverage during a maternity leave period. From July 14, 2026 to July 30, 2027, this role will support the smooth daily operation of the clinic by completing core administrative duties, maintaining health and safety processes, managing invoicing and payment applications, following up on past‑due accounts, picking up supplies as needed, and coordinating schedules for therapists. The ideal candidate is detail‑oriented, comfortable working independently, and able to balance multiple priorities in a fast‑paced environment.
Key Responsibilities:
Billing & Invoicing:
- Prepare and send invoices
- Track payments and follow up on outstanding accounts
- Maintain billing records for grant and financial reporting
Scheduling & Coordination:
- Manage calendars for client sessions, staff schedules, and internal meetings
- Track cancellations, rebookings, and staff availability
- Coordinate logistics for training events, supervision, and onboarding
HR & Staff Support:
- Assist with onboarding tasks and documentation tracking
- Maintain records of certifications, training, and performance reviews
- Track staff hours and manage time card submissions for payroll
- Support internal communication and team organization
Health & Safety Coordination:
- Act as the clinic’s designated Health and Safety Representative
- Conduct regular health and safety checks and maintain documentation
- Ensure emergency procedures, first aid kits, and safety signage are current and accessible
- Coordinate fire drills and incident reporting processes
- Support compliance with workplace safety legislation and internal policies
Grant & Program Support:
- Track milestones, deliverables, and staff training logs related to grant funding
- Assist with preparing documentation and summaries for grant reporting
- Ensure funding-related documentation is complete, current, and organized
Clinic Operations:
- Maintain and organize digital and paper records (Office 365, shared drives, HiRasmus)
- Respond to general inquiries and support the intake process
- Prepare client onboarding materials and maintain waitlist records
- Help with basic treatment material prep (e.g., printing, laminating, organizing visuals)
- Support general clinic upkeep (e.g., tidying common areas, organizing materials)
- Order office and program supplies as needed
- Assist with social media updates and content scheduling to support outreach and visibility
Preferred Qualifications & Assets:
- Strong organizational and communication skills
- Proficient in Office 365 (Outlook, Word, Excel, Teams, SharePoint)
- Bilingual (English/French) is a strong asset
- Familiarity with ABA services, OAP, and/or Jordan’s Principle is an asset
- Experience with billing, HR coordination, or grant-funded projects is an asset
- Comfortable working independently and managing multiple tasks
