About The Role:
The Manager, Facilities and Maintenance is responsible for overseeing the efficient and effective delivery of facility maintenance services across Civida’s programs. This role involves managing day-to-day operations, providing leadership to the team, ensuring compliance with regulations, and maintaining strong community and stakeholder relationships. Key Responsibilities:
Facility Maintenance Services
- Oversee the maintenance of facilities within the Community Housing, Near Market, and Mixed Income programs, ensuring properties meet Civida’s quality standards and program guidelines.
- Ensure that facilities are maintained to a high standard, addressing routine maintenance and emergency issues promptly and effectively.
- Oversee the after-hours maintenance process, including handling emergency calls and managing the escalation of issues from field supervisors.
- Administer the insurance claims process related to facility maintenance, ensuring all documentation is completed accurately and on time.
- Review and audit work orders, service requests, requisitions, and inspections to ensure accuracy and completeness.
- Work closely with the Procurement department to manage vendor contracts and ensure services meet quality standards and are delivered on time.
- Collaborate with contractors and other service providers to coordinate necessary maintenance work and ensure high-quality service delivery.
- Resolve tenant maintenance complaints and non-compliance issues, ensuring that concerns are addressed professionally and in a timely manner.
- Continuously monitor and improve maintenance processes, identifying opportunities for increased efficiency or service quality.
Financial Management
- Develop and manage the facilities budget for assigned properties and areas, ensuring that expenditures remain within the approved budget and aligned with organizational priorities.
- Work with the Director of Facilities and Maintenance to set and monitor the department’s budget, providing regular updates and identifying potential cost-saving measures.
- Oversee and review tenant chargebacks, vendor chargebacks, and invoicing to ensure accuracy and compliance with policies and procedures.
- Report on departmental spending and assist with forecasting for future budgets, providing detailed financial reports to senior management.
Leadership
- Lead, mentor, and develop a high-performing team of unionized staff members who deliver facilities and maintenance services.
- Foster a collaborative and client-focused culture, ensuring that internal stakeholders and external clients receive excellent service.
- Establish team performance goals, metrics, and key performance indicators (KPIs) to monitor and drive accountability, quality, and continuous improvement.
Qualifications:
- Bachelor’s degree and/or relevant post-secondary diploma.
- Minimum of 8 years of progressive experience in property maintenance, preferably within a commercial residential environment, including at least 3 years in a leadership or managerial role.
- Strong knowledge of maintenance contracts, scopes of work and vendor performance standards along with the ability to negotiate, interpret and ensure compliance with contractual terms and conditions.
- In-depth technical knowledge of mechanical maintenance systems and/or Building Management System (BMS) controls.
- Experience in residential property and facilities management, with a strong understanding of building maintenance best practices.
- Strong leadership skills with demonstrated experience managing and motivating diverse maintenance teams.
- Solid understanding of the Alberta Building Code, Fire Code, and Occupational Health and Safety Regulations.
- Awareness of and sensitivity to the socio-economic realities of Civida’s tenant population.
- Self-motivated and innovative, with a track record of developing and implementing operational processes and procedures.
- Strong communication skills—oral, written, and interpersonal—with the ability to collaborate effectively across departments.
- Skilled in conflict resolution and labor relations, with experience working in a unionized setting.
- Valid driver’s license, satisfactory driver’s abstract, and access to a personal vehicle for work purposes.
