Studio Administrator – Noteworthy Music Studio.
Overview
We are looking for a highly organized, proactive, and detail-oriented Studio Administrator to support the day-to-day operations of our growing music studio.
This part-time role is ideal for someone who enjoys working behind the scenes to create smooth, positive experiences for students, families, and instructors. The Studio Administrator will work closely with the studio owner and manager, supporting teachers, students, and families while helping improve systems and organization.
This position will begin at approximately 10 hours per week (hybrid schedule), with the potential to grow as the studio continues to expand.
Compensation: $20–$25 /hour based on experience and qualifications.
Key ResponsibilitiesStudent & Teacher Communication
- Serve as a warm and professional point of contact for student and parent inquiries, registrations, and ongoing communication
- Follow up with new leads regarding lesson inquiries, program information, scheduling, and payment options
- Guide families through the registration process and answer questions about studio programs
- Communicate with teachers regarding schedules, reminders, updates, and studio information
- Send monthly studio newsletters and updates to families
- Assist with maintaining a positive and welcoming studio experience
Scheduling & Enrollment Management
- Assist with student scheduling, class placements, and waitlists
- Help optimize teacher schedules and studio room usage
- Maintain accurate calendars for students, teachers, programs, and events
- Track enrollment numbers and program availability
Program & Event Coordination
- Support the organization of private lessons, group programs, camps, workshops, and special events
- Assist with recital planning, student incentives, and studio activities
- Help coordinate logistics and communication for PD Day Camps and Summer Programs when needed
Administrative Systems
- Maintain student records and assist with keeping studio systems up to date
- Become familiar with studio software platforms (e.g., Opus1.io) and CRM systems
- Assist with billing administration, registrations, deposits, and monthly payment tracking
- Prepare basic reports and assist with tracking important studio milestones
Operations & Team Support
- Assist with instructor scheduling, onboarding coordination, and staff communication
- Support hiring processes by coordinating interviews, paperwork, and communication
- Help ensure smooth daily operations across studio locations
- Identify opportunities to improve systems, organization, and efficiency
Qualifications
- Strong organizational and time management skills
- Excellent written and verbal communication skills with a warm, professional approach
- Detail-oriented with the ability to manage multiple priorities
- Comfortable learning scheduling software, CRM systems, and basic technology platforms
- Experience in administration, customer service, education, or program coordination preferred
- Ability to work independently and take initiative
Assets (Nice to Have)
- Experience working in a music school, educational setting, or arts organization
- Familiarity with lesson scheduling, enrollment-based programs, or customer relationship management systems
- Interest in music, education, and community programming
