Be the Heart of Our Practice
We are looking for a friendly, organized, and dependable Receptionist / Administrative Assistant to join our adult Occupational Therapy private practice. As the first point of contact for our clients, you will play an important role in creating a welcoming, professional, and supportive experience.
This position is ideal for someone who enjoys working independently, has exceptional organizational skills, and values providing compassionate customer service. You will work closely with several Occupational Therapists, helping to ensure the clinic operates efficiently while clients receive outstanding care.
Responsibilities
- Welcome clients and visitors with warmth and professionalism.
- Answer telephone calls, emails, and client inquiries.
- Schedule appointments and manage the therapist's calendar.
- Confirm appointments and maintain client records.
- Process payments, invoices, and receipts.
- Manage Accounts Receivable
- Coordinate referrals and communicate with physicians, insurers, and other healthcare providers when required.
- Prepare correspondence and maintain accurate documentation.
- Manage office supplies and ensure the reception area remains organized and inviting.
- Assist with billing and general administrative duties.
- Maintain strict confidentiality and comply with privacy legislation.
Qualifications
- Previous experience in medical, allied health, or administrative reception is preferred.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Comfortable using computers, Microsoft Office, email, and learning clinic management software.
- Ability to work independently and take initiative.
- Professional, compassionate, and client-focused.
- Experience with medical billing or insurance claims is considered an asset.
