At Ambient Connections Inc., we specialize in designing and delivering luxury smart home and commercial technology systems throughout the Lower Mainland. Our projects range from high-end residential automation and architectural audio to lighting control, motorized shading, networking, surveillance, home theatres, and Micro LED video walls.
We work with some of the most recognized technology brands in the industry including Savant, Lutron Electronics, Sonance, and Just Video Walls to create refined, fully integrated experiences for our clients.
We are currently looking for a highly organized and detail-oriented Administrative Assistant / Executive Assistant to help support daily operations as the company continues to scale.
Position Overview
This role is ideal for someone who thrives in a fast-paced environment, enjoys organization and communication, and can help keep projects, scheduling, documentation, and client coordination running smoothly behind the scenes.
You will work directly alongside ownership and play a key role in supporting operations, project coordination, scheduling, proposals, client communication, and internal organization.
Responsibilities
- Manage scheduling, meetings, and calendar coordination
- Organize project documentation, proposals, invoices, and internal files
- Coordinate communication between clients, builders, designers, electricians, and vendors
- Assist with proposal preparation and document formatting
- Follow up with clients regarding approvals, deposits, scheduling, and project updates
- Track ongoing projects, timelines, and equipment ordering
- Help maintain CRM systems, spreadsheets, and internal organization
- Coordinate service calls and support requests
- Assist with social media coordination and basic marketing/admin tasks when needed
- Support ownership with day-to-day operational and executive tasks
Qualifications
- Strong organizational and communication skills
- Ability to multitask and manage multiple projects simultaneously
- Professional and polished communication style
- High attention to detail
- Comfortable working in a luxury client-facing environment
- Experience with Google Workspace, Microsoft Office, spreadsheets, and digital organization tools
- Ability to work independently and proactively
- Previous experience in construction, technology integration, AV, interior design, or luxury residential industries is considered an asset
Bonus Qualifications
- Experience with project coordination or construction administration
- Familiarity with smart home technology or AV systems
- Experience with social media management and content coordination
- Understanding of luxury residential construction workflows
