They are seeking a Finance Coordinator to join their team in Edmonton, Alberta. You will play a key role within the Finance department, overseeing and executing critical financial processes that support the company's revenue and operational success. This role has a strong focus on agreement billing management, ensuring client agreements are accurately configured, maintained, and invoiced according to contractual terms. You will also oversee Time & Materials (T&M) billing, coordinate month-end activities, audit financial data, manage client agreement structures, and maintain financial accuracy across multiple systems.
This position requires strong attention to detail, analytical thinking, and a proactive approach to process improvement. You will work closely with leadership and operational teams to ensure billing integrity, support informed business decisions through accurate financial reporting, and help maintain the financial health of the organization.
Key Responsibilities:
- Generate and manage monthly Agreement Billing and Time & Material (T&M) billing to ensure invoices are accurate, complete, and delivered on time.
- Create and maintain client agreements/contracts within financial and operational systems.
- Coordinate and execute month-end financial processes, including reconciliations, reporting, and financial reviews.
- Perform sales and Cost of Goods Sold (COGS) audits to ensure revenue and expenses are properly allocated and reported.
- Review financial data for discrepancies, identify opportunities to improve financial processes and reporting efficiency, and implement corrective actions to enhance billing accuracy and overall financial performance.
- Maintain and improve data integrity within QuickBooks, including account cleanup, auditing, and ongoing system maintenance.
- Set up new clients, products, services, and SKUs to ensure accurate billing and reporting.
- Review and validate pricing structures, billing configurations, and agreement details for accuracy.
- Support annual audits and provide documentation as required.
- Collaborate with operational leaders to ensure financial processes align with business objectives.
- Ensure compliance with internal financial controls and company policies.
- Provide backup support for other finance and administrative functions as required.
- Coordinate hospitality and workplace experience activities to support employee engagement, client visits, and company events.
- Perform other duties as assigned.
Key Requirements:
- 2+ years of experience in accounting, finance, bookkeeping, billing, administration, or a related field.
- Experience supporting financial operations in a small or growing business environment is considered a strong asset.
- Proven ability to learn new systems, processes, and business concepts quickly while understanding how they connect to overall business operations.
- Strong understanding of billing processes, financial reporting, reconciliations, and accounting principles.
- Experience with QuickBooks or similar accounting software would be considered an asset.
- High level of attention to detail and accuracy.
- Strong analytical and problem-solving skills.
- Ability to prioritize tasks, manage multiple deadlines, and work independently.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office applications, particularly Excel.
- Eagerness to learn, adapt, and contribute to continuous improvement initiatives.
- Friendly, professional, and approachable demeanor with a strong focus on customer service for employees, clients, vendors, and visitors.
- Valid driver's license with a reasonably clean driving record.
Physical Requirements (include but are not limited to):
- Ability to lift heavy IT equipment including but not limited to desktops, printers,workstations, and UPS etc. up to 50 lbs. without assistance.
