Summary
The HVAC Service Coordinator is responsible for coordinating and scheduling service technicians, ensuring timely response to customer service requests, and supporting the day-to-day operations of the HVAC Division. This role serves as the primary point of contact for customers, technicians, and suppliers while maintaining accurate service records, work orders, and invoicing.
Responsibilities
- Receive, prioritize, and schedule HVAC service calls and preventive maintenance appointments.
- Coordinate daily schedules for service technicians to maximize efficiency and customer satisfaction.
- Dispatch technicians based on urgency, location, skill set, and availability.
- Communicate with customers regarding appointment confirmations, schedule changes, and service updates.
- Prepare, review, and close work orders in a timely manner.
- Coordinate the ordering and availability of parts, materials, and equipment required for service work.
- Work closely with technicians to ensure all required documentation is completed accurately.
- Monitor service progress and respond promptly to scheduling conflicts or emergency requests.
- Process service reports, timesheets, and supporting documentation for invoicing.
- Assist in preparing customer quotations for repairs and maintenance when required.
- Maintain accurate service records, customer information, and equipment history.
- Support warranty claims and manufacturer documentation when applicable.
- Collaborate with project managers, estimators, suppliers, and internal departments to ensure smooth service operations.
- Ensure compliance with company policies, health and safety requirements, and applicable industry regulations.
- Perform other administrative and operational duties as assigned.
Qualifications
- Minimum of 3 - 5 years of experience in service coordination, dispatch, or administrative role.
- Previous experience in the HVAC industry, with knowledge of HVAC systems, terminology, and service processes.
- Strong understanding of scheduling and dispatching practices for service technicians.
- Basic understanding of accounting, invoicing, and procurement processes.
- Familiarity with mechanical service contracts and warranty documentation is considered an asset.
- Diploma or certificate in Business Administration, Office Administration, HVAC Technology, or a related field.
Pay: $52,000.00-$72,000.00 per year
