TaleWind Digital is seeking an experienced, self-sufficient Virtual Event Manager to deliver virtual events for clients on a per-event contract basis. You will own the end-to-end delivery of assigned events, from the first contact with event stakeholders through live execution and post-event reporting, working independently with minimal onboarding. This is ideal for a seasoned events contractor, confident client-facing communicator, highly organized, with exceptional attention to detail. They thrive under deadlines, anticipate risks before they surface, and deliver polished, positive experiences every time, with little hand-holding. Reliable availability during scheduled live events is essential.

Scope of Work
For each assigned event, the contractor is responsible for the full delivery lifecycle, including:
- Serving as the primary point of contact between virtual event stakeholders (from speakers to event coordinators) and TaleWind for the duration of the event, ensuring clear communication, timely follow-up, and a seamless experience from intake through completion.
- Manage the full event lifecycle for assigned virtual events, including introducing yourself to stakeholders, coordinating calendars, and leading tech checks and quick-connect calls to confirm live event format, audience, and run-of-show.
- Build and configure events end-to-end in the virtual events platform. From receiving the virtual events form, set up the event registration page, quality check, and Zoom integration
- Coordinate and lead pre-event preparation, including show flow Worksheets, run-of-show script, tech checks, and rehearsals with Event Stakeholders and speakers.
- Own live virtual events start-to-finish, launching the live session, managing day-of Zoom logistics, and providing calm, behind-the-scenes support so the attendee experience runs seamlessly.
- Track and report registration progress to stakeholders on a set cadence.
- Complete post-event deliverables, including recording uploads to hosting platforms (e.g., Vimeo), post-event emails and surveys, recording distribution to registrants, and a brief close-out/debrief.
- Identify risks early and manage change requests when scope or timelines shift.
- Maintain accurate records across CVENT, calendars, and internal trackers; keep all stakeholders informed at each milestone.
Required Skills & Experience
Because this is a per-event contract with standard training, candidates must be able to deliver independently from day one.
- 3+ years of client-facing event coordination or event management experience, with increasing autonomy over event delivery.
- Hands-on experience managing virtual events (webinars) from setup through execution.
- Demonstrated proficiency with Zoom webinar and meeting administration
- Proven ability to run live virtual events solo and manage multiple stakeholders simultaneously.
- Comfort working independently with diverse stakeholders, troubleshooting technical issues at different times.
- Strong client-facing communication skills. Professional, adaptable, and responsive.
- Excellent organizational skills, with senior stakeholders and speakers.
- Highly organized and able to manage multiple concurrent events without dropping a thread.
- Familiarity with supporting tools such as Google Workspace, Smartsheet, and video hosting platforms (e.g., Vimeo).
- Nice to have: experience with association or membership-based organizations, CVENT, LMS platforms, Zoom and/or video production.
Self-Sufficient – able to pick up an event and run it independently with minimal direction, tools, and onboarding.
Grace Under Pressure – the ability to stay calm, focused, and resourceful during live events, troubleshooting issues in real time without disrupting the attendee experience.
Detail-Oriented – excellent organizational skills, minding the finer details of events and paying close attention to accuracy and timelines.

Contractor Requirements
- Canadian-based, and able to invoice as an independent contractor (self-employed; responsible for own taxes / T4A applicable).
- Own reliable equipment: a modern computer, high-speed internet, a secondary monitor, and a backup connection option for live events.
- A professional, quiet, Zoom-ready environment for hosting live sessions.
- Reliable availability during scheduled event times; confirmed availability per event at the time of assignment.
- Willingness to sign a confidentiality / non-disclosure agreement covering client and registrant data.
Engagement Details
- Per-event engagement — you are assigned and compensated on an event-by-event basis.
- Event volume varies with the client schedule; this is not a guarantee of a set number of events.
- Fully remote, with flexibility to work around your own schedule outside of confirmed live-event and call times.
