Job Summary
UBC Press produces books integral to Canada’s cultural, political, and social fabric and is widely touted as the country’s pre-eminent social science publisher. Established in 1971 and now offering 1400+ titles in print and 40-60 new works per year, the Press publishes sophisticated and transformative works by authors whose thought and research pushes the boundaries of scholarly discourse and makes a vital contribution to the democratic exchange of ideas.
Organizational Status
Reporting to the Sales Manager, the Sales and Inventory Coordinator plays a key role in sales, marketing, and inventory activities related to UBC Press publications and those distributed by the Press under agency or distribution agreements. This position actively contributes to the development and implementation of sales campaigns and strategies to ensure growth across all market channels. The incumbent also manages inventory levels in Canada and internationally to ensure the Press is well-positioned to meet demand requirements.
Work Performed
Plays a key role in the development and implementation of sales and direct marketing campaigns and strategies to ensure growth across all market channels.
Researches current industry trends and makes recommendations to the Sales Manager.
Proactively conducts research on new potential markets and customers for selected titles (including institutional clients, libraries, bookstores, and post-secondary instructors in Canada and the U.S.)
Develops materials for direct-to-consumer outreach across all market channels. Creates and executes effective book marketing campaigns, including course adoption campaigns, for new UBC Press publications and books distributed by the Press. Creates and maintains a consistent schedule for distributing campaigns and ensures timely and effective campaign follow-up.
Is responsible for sending desk and examination copies to professors.
Establishes strong relationships with both existing and prospective customers across all market channels, and acts as a first point of contact for any sales/inventory-related customer service matters.
Prepares timely reports for the marketing team about reception and feedback on titles, particularly from course campaigns. Researches and shares information on market trends, customer feedback, and pricing. Makes relevant recommendations as appropriate.
Prepares sales materials for conferences and events, ensuring their appropriateness and relevance for the specific event.
Contributes ideas and feedback during marketing department and other meetings and is a member of the sales committee.
Keeps up-to-date with Anti-Spam Legislation and ensures compliance in campaign activities.
Inventory Management
Collaborates with marketing colleagues to determine the level of UBC Press and agency stock that should be on hand domestically to fill to the department’s requirements for sales, book launches, conferences, special purchases, and so forth.
Facilitates monthly stock transfers of UBC Press and agency titles to international warehouses to ensure adequate stock levels are maintained.
Strategically balances needs for stock availability against the cost of air freight and other expedited shipping methods.
Performs regular reprint reports and communicates numbers to Production Editorial to ensure adequate stock of UBC Press titles is maintained.
Liaises with new client agencies to facilitate the transfer of stock into the Canadian distribution warehouse, and closes out agencies upon termination of the contract by arranging the timely removal (or pulping) of stock from the Canadian distribution warehouse.
Handles and resolves all customer service issues related to inventory availability and fulfilment not already addressed by customer service in the warehouses.
Performs other related duties as required.
Consequence of Error/Judgement
The Sales and Inventory Coordinator is the Press’s principal contact with many customers across Canada and in the US and also oversees inventory to ensure sufficient stock levels in all markets. Since a significant percentage of the Press's income is derived from sales, the consequences of error are critical. Given, too, that UBC Press presents books bearing the University’s imprint to hundreds of customers across Canada and in the US, maintenance of the highest quality of professionalism and diplomacy in all dealings is essential to the image of the Press and the University. Failure to maintain efficient and professional relations and failure to follow through with sales and inventory management tasks could have significant financial consequences for the Press and imperil its reputation as a high-quality scholarly publishing company.
