Job Overview
We are seeking a detail-oriented and organized Office Administrator to support daily office operations and provide administrative support across the agency. This role helps keep systems, records, communication, scheduling, and reporting accurate and up to date while supporting human resources, payroll, training, and operational processes. The Office Administrator will serve as the first point of contact for clients and staff, managing administrative tasks efficiently and professionally.
Responsibilities:
- Provide administrative and clerical support for day-to-day office operations.
- Manage the front office greeting visitors, handling multi-line phone systems with professionalism and courtesy.
- Prepare correspondence, reports, spreadsheets, forms, and meeting materials.
- Maintain electronic and physical records, files, and documentation.
- Coordinate schedules, meetings, room bookings, and internal communications.
- Support onboarding, employee records, training records, and administrative HR processes.
- Assist with payroll documentation, leave tracking, reporting, and data entry.
- Maintain accurate information in agency systems and Microsoft Office applications.
- Respond to general inquiries and provide reception support as needed.
Qualifications
- Post-secondary education in Office Administration, Business Administration, Human Resources, or a related field is an asset.
- Administrative experience in an office, nonprofit, healthcare, or human services environment preferred.
- Strong proficiency with Microsoft Office, including Word, Excel, Outlook, and Teams.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities.
- Ability to maintain confidentiality, exercise discretion, and communicate professionally.
- Experience using organizational software and databases, including programs such as AIMS and Inclusion, is an asset. Must be comfortable learning and adapting to new software and organizational systems
- Ability to handle sensitive information with discretion and maintain confidentiality.

Pay: From $60,000.00 per year
