Job Description – Digital Production & Sales Operations CoordinatorPosition Summary
The Digital Production & Sales Operations Coordinator is responsible for coordinating the flow of digital printing and sleeving projects from order entry through production. This role ensures accurate scheduling, maintains product and sales order data, supports communication between Sales, Production, and Accounting, and helps ensure projects are completed on time and with complete documentation.
Key Responsibilities:
Production Planning & Scheduling
- Schedule all digital SKUs within the production calendar.
- Track and monitor the progress of all digital SKUs throughout the production pipeline.
- Maintain visibility of project status and identify potential scheduling conflicts or delays.
- Prepare and distribute weekly production pipeline reports.
Sales & Customer Communication
- Communicate with sales representatives regarding production delays impacting digital printing and sleeving projects.
- Coordinate updates between Production and Sales to ensure customers receive accurate project timelines.
Order Management
- Review, approve, and confirm all sales orders in Odoo, excluding offset printing orders.
- Review incoming sales orders for accuracy before submitting them to Accounting for approval.
- Verify that products have been created, production routing is accurate, and sufficient inventory is available.
- Update and revise sales orders as directed, including changes to:
- Can liner specifications
- Order quantities
- Product details
- Other production-related requirements
Product & System Administration
- Create and maintain product records within Odoo.
- Maintain an accurate and current master list of all digital SKUs using Google Sheets.
- Ensure all product information remains accurate and consistent across company systems.
Financial & Administrative Support
- Prepare and submit weekly prepayment reports for digital customers to the Accounts Receivable department.
- Create and issue purchase orders in Ekos for 24/7 Packaging, as requested.
Documentation & Record Management
- Scan, organize, and maintain all sleeving documentation, including:
- Sleeved product tags
- Pallet tags
- File pallet tags for digital projects in the designated filing system.
- Ensure production records are complete, organized, and readily accessible.
Qualifications
- Experience with ERP systems, preferably Odoo.
- Experience with Google Workspace, particularly Google Sheets.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Ability to manage multiple projects and deadlines simultaneously.
- Strong written and verbal communication skills.
- Experience in manufacturing, printing, packaging, or production environments is considered an asset.
- Knowledge of inventory management and production scheduling is preferred.

Reporting Relationship
Reports to the Operations Manager (or designated supervisor).

Pay: $35,200.00-$50,000.00 per year
