Your Impact as an Operations Assistant
As an Operations Assistant, you will work from our Fredericton office in support of our homes and the staff who work in them. The largest part of the role is client reporting. Staff submit reporting after every shift, and those records go to the social workers responsible for each child or young person’s care (our clients). You will read what comes in, follow up where it is incomplete, correct it, and send it on. Beyond reporting, you will build staff schedules, coordinate training, reconcile receipts, and take on what else the office needs.
The role suits someone who has worked directly with children and youth and now wants an office-based position. If you have written shift reports yourself, you will know what a thin one is leaving out and what to ask for. There is no shift rotation and no overnight work.
Your Responsibilities as an Operations Assistant
- Review client reporting submitted by staff for completeness and accuracy, follow up with staff members where further detail is required, and finalize and submit reporting to the assigned social worker
- Maintain organized and confidential client records, and respond to information requests from social workers and Monuwehkahal management
- Support the building and maintenance of staff schedules across our homes, including maintaining appropriate staffing levels and arranging coverage for open shifts
- Assist in matching staff to homes based on client needs, staff skills and experience, and continuity of care
- Support the performance review process, including scheduling reviews, preparing documentation, and tracking completion
- Prepare and maintain disciplinary and employee relations documentation under the direction of senior management, and raise performance, attendance, and care standard concerns as they arise
- Book and schedule required staff training (NVCI, First Aid and CPR, and others as required), maintain a training register, track certification expiry, and complete the same training yourself
- Reconcile receipts and expense claims from the homes and prepare them for processing
- Maintain filing, correspondence, and supply ordering, and support office staff with day-to-day tasks as they arise
What We’re Looking For (Preferred Qualifications)
- Direct experience in a child and youth care, social services, or similar setting, particularly experience completing client reporting from the frontline (preference may be given to candidates who have worked specifically with First Nation children or youth in care)
- Strong writing and editing ability, including the judgment to identify what a report is missing and the confidence to ask for it
- Experience with scheduling, completing timesheets, and records management
- Familiarity with Microsoft Office
- Demonstrated knowledge of the child and youth care system, along with an understanding of trauma-informed care principles and strengths-based care practices
What You Must Have (Minimum Qualifications)
- Strong written and verbal communication skills
- Demonstrated attention to detail and the ability to manage competing priorities without losing track of them
- The discretion to handle sensitive and confidential information about children, youth, and staff
- Demonstrated history of compassion and professionalism
- Ability to successfully pass a criminal background and vulnerable sector check
- Ability to work in person from our Fredericton office
Pay: $21.00-$24.00 per hour
